We are seeking a dedicated and enthusiastic Customer Service Representative to join our team.
The Customer Experience Representative serves as the primary point of contact for customers and is responsible for delivering a professional, consistent, and high-quality customer experience. This role interfaces with customers by phone to schedule service, resolve scheduling, and provide accurate information regarding company services and policies. Customer Experience Representatives are responsible for maintaining positive customer relationships, coordinating with internal departments, and ensuring all service requests are handled efficiently, professionally, and in accordance with company procedures and communication standards.
Essential Duties and Responsibilities:
- Answer incoming calls promptly and professionally
- Schedule service appointments accurately and efficiently
- Determine customer needs and coordinate appropriate service actions
- Follow all company call handling procedures and communication standards
- Utilize required call scripts, messaging, and service language as directed by management
- Maintain a calm, professional, and empathetic tone on all interactions
- Document all customer interactions accurately in company systems
- Provide basic troubleshooting assistance when appropriate
- Offer maintenance options, upgrades, or additional services when applicable
- Make outbound calls for follow ups and additional revenue - tune ups/uv bulbs.
- Communicate scheduling updates, delays, or required information to customers
- Coordinate with dispatch
- Process payments and assist with administrative tasks as needed
- Escalate complex or sensitive issues to customer care or supervisors when appropriate
- Support seasonal scheduling efforts and outbound campaigns
- Maintain knowledge of company services, policies, and procedures
- Perform other duties as assigned by management
Required Communication Standards
Customer Experience Representatives are required to follow all assigned call scripts, service language, and communication guidelines as directed by management. These standards ensure consistent, accurate, and professional communication with customers and are considered an essential function of the position.
Representatives are expected to use approved messaging when discussing pricing, coverage, scheduling, and policies and may not deviate from required scripts or procedures without management approval. Participation in coaching, call reviews, and training related to communication standards is required.
Qualifications:
- High School Diploma or equivalent
- Prior customer service or call center experience preferred
- Strong verbal and written communication skills
- Ability to multi-task in a fast-paced environment
- Strong problem-solving skills
- Computer proficiency and data entry accuracy
- Ability to work independently and in a team environment
- Scheduling/dispatch experience a plus
- Bilingual (English/Spanish) a plus
- Home services or HVAC experience preferred but not required
