Duties
- Manage multi-line phone systems efficiently to direct calls appropriately
- Provide outstanding customer service by addressing inquiries, resolving issues, and offering product or service information
- Create and maintain the weekly route schedule and communicate any changes to the schedule to the appropriate service technician as required.
- Maintain accurate records through data entry, filing, and proofreading to ensure seamless office operations
- Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for administrative tasks such as scheduling, invoicing, and bookkeeping
- Manage calendar appointments and coordinate meetings or appointments for staff or clients
- Support office management functions by handling clerical duties like filing, organizing documents, and maintaining office supplies
- Demonstrate excellent phone etiquette and organizational skills while managing busy front desk responsibilities
Experience
- Previous office experience or administrative support background preferred; experience as a dental or medical receptionist is a plus
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry tools
- Bilingual abilities are highly desirable to assist diverse customer needs effectively
- Familiarity with multi-line phone systems, office management procedures, and clerical tasks such as proofreading and filing is advantageous
- Demonstrated customer service skills with a focus on clear communication, patience, and problem-solving abilities
- Personal assistant or medical receptionist experience can provide valuable insight into managing schedules and client interactions
