TITLE: Endowment Finance Associate

JOB SUMMARY:
The Endowment Finance Associate supports the Foundation’s endowment management and stewardship efforts through financial recordkeeping, account reconciliation, fund monitoring, reporting, audit support, and donor communications. While working under the direction of the Endowment Finance Coordinator, this position helps ensure the accuracy, integrity, and confidentiality of endowment and scholarship fund information. Strong accounting, finance, organizational, and analytical skills are essential for success in this role.
This is a part-time (24 hours per week), on-site position based in Youngstown, OH, and will report to the Endowment Finance Coordinator. There is potential for the position to transition to full-time based on organizational needs.
QUALIFICATIONS:
A Bachelor's degree in business administration or related field required. Demonstrated competency in accounting, finance, or related fields, with the ability and willingness to develop knowledge and proficiency in these areas. Experience in financial aid, nonprofit organizations, higher education, financial reporting, scholarship administration, or endowment management is preferred.
Strong organizational, time management, and communication skills. Ability to work independently, manage multiple priorities, and maintain a high degree of accuracy and confidentiality. Knowledge of Youngstown State University, the YSU Foundation (YSUF), and the Mahoning Valley desired. Alumni status is a plus.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
- Assist with review, reconciliation, and audit of Foundation endowment and scholarship fund balances.
- Work closely with the Endowment Finance Coordinator to maintain, update, and store endowment records and financial data within fund accounting and database systems.
- Assist in preparing, organizing, and maintaining financial documentation related to endowment, scholarship, and restricted funds.
- Assist with fund reporting, audit preparation, and research of account discrepancies.
- Support the preparation, distribution, and electronic storage of annual market value letters and donor communications.
- Collaborate with the Endowment Stewardship Coordinator to distribute student thank-you letters and other donor stewardship materials as well as store electronic copies.
- Assist with the scholarship review process, recipient communications, and tracking of required scholarship documentation.
- Follow up with scholarship recipients regarding incomplete applications, missing information, and outstanding thank-you letters.
- Maintain the confidentiality of donor, student, and financial information.
- Manage multiple priorities and deadlines while maintaining a high degree of accuracy and attention to detail.
- Communicate professionally and effectively with students, faculty, staff, and donors.
- Utilize Microsoft Office, fund accounting software, donor management systems, and related technology to support daily operations.
- Perform accurate data entry, record maintenance, and file management with a strong commitment to quality and detail.
