Legal Assistant – High-Volume Collections

Position Overview
Fendelman Group is seeking a highly organized and dependable Legal Assistant to support a high-volume collections practice. This position is responsible for keeping a large portfolio of litigation and post-judgment matters moving efficiently, accurately, and on schedule.
The ideal candidate is comfortable working with a substantial number of active files, following standardized procedures, managing court and statutory deadlines, preparing routine legal documents, and maintaining accurate case records. This role requires strong attention to detail, consistent follow-through, and the ability to work quickly without sacrificing accuracy.
Collections experience is helpful, but we will consider candidates with experience in civil litigation, insurance defense, landlord-tenant, foreclosure, bankruptcy, or another deadline-intensive legal practice.
Primary Responsibilities
- Open new matters and accurately enter case, party, court, account, and balance information into the firm’s case-management system.
- Maintain a high-volume docket of collection litigation and post-judgment enforcement matters.
- Review files regularly and identify the next required action so that matters do not become stagnant.
- Prepare routine pleadings, correspondence, notices, affidavits, discovery, garnishments, executions, and other collection-related documents using firm templates.
- Coordinate filing and service of process and monitor matters for completed service, returns, hearings, judgments, and other developments.
- Calendar and monitor court dates, response deadlines, judgment-renewal dates, garnishment deadlines, payment deadlines, and follow-up tasks.
- Obtain and organize supporting documentation, including contracts, invoices, account statements, payment histories, affidavits, and cost records.
- Maintain accurate records of filing fees, service fees, court costs, payments, judgments, and case status.
- Communicate professionally with courts, process servers, opposing counsel, clients, employers, financial institutions, and other third parties.
- Prepare files for attorney review, hearings, trials, default judgments, garnishments, executions, and other enforcement proceedings.
- Monitor payment arrangements and promptly escalate defaults or discrepancies.
- Process incoming mail, court notices, electronic filings, payments, and correspondence and route them appropriately.
- Update clients and internal team members regarding case status, significant developments, and documents or decisions needed.
- Assist with closing files, satisfaction of judgments, releases, dismissals, and final reporting.
- Follow firm procedures for documentation, quality control, confidentiality, and escalation of legal issues.
- Provide additional administrative and litigation support as needed.
Required Qualifications
- Prior experience as a legal assistant, litigation assistant, paralegal, court clerk, collections specialist, or in a comparable deadline-driven position.
- Strong organizational skills and the ability to manage a large number of files simultaneously.
- Exceptional attention to detail, particularly when working with names, addresses, balances, dates, court information, and account records.
- Ability to follow standardized workflows and written procedures consistently.
- Strong written communication, proofreading, and document-formatting skills.
- Comfortable working with repetitive processes while remaining alert to exceptions and discrepancies.
- Ability to prioritize work, meet deadlines, and follow matters through completion.
- Professional judgment and discretion when handling confidential financial and legal information.
- Proficiency with Microsoft Office, PDF software, email, spreadsheets, and cloud-based case-management systems.
- Reliable attendance and punctuality.
Preferred Qualifications
- Familiarity with Missouri courts, Case.net, electronic filing, service of process, and civil litigation procedures.
- Experience preparing pleadings or filing documents in state court.
- Familiarity with document-automation or high-volume case-management systems.

What This Position Is Not
This is not a position in which an assistant works on only a small number of highly customized files. The practice is process-driven and volume-intensive. Success requires comfort with structured workflows, measurable deadlines, frequent status updates, and consistent file maintenance.
At the same time, this is not a call-center collection position. The Legal Assistant supports active legal matters and must understand the importance of court procedures, documentation, accuracy, and professional legal communication.
