Experience in all elements of event planning, including vendor, contract negotiations, timeline development and budget administration. The position functions as the lead for all signature events and organizational events to ensure goals are met.
Responsibilities:
1. As an integral part of the Philanthropy Team, plans and implements special, fundraising, and organizational events.
2. Develop, plan, coordinate, and monitor all special events/group and individual projects, programs, and budgets with Director of Philanthropy. This will include the arrangement of all equipment, displays and other event needs.
3. Assist the Director of Philanthropy and Graphic Designer in the production and design of promotional materials.
4. Solicit sponsorship, funding, and auction donations. Ensure event sponsorship obligations are fulfilled.
5. Coordination of programs and oversight of the various stages of event development: development of event timelines and responsibilities, event details, executing of event, post event details, and financial tracking.
6. Development of, and adherence to, efficient and detailed program timelines to ensure successful program execution. Program timelines include such things as timeframes for sponsorship, marketing, production time, participant/speaker notice, event agenda, and event location.
7. Network and cultivate relationships with individuals, foundations, and corporations.
8. Plan and facilitate logistics for all events. Including contract negotiations, guest list, venue preparation, presentation materials, catering, entertainment, transportation, equipment, and décor.
9. Maintain successful programs, events, and records of all aspects of events. Successful execution of each event may include reaching financial goals and community/business impact.
10. Co-coordinate with the Dev. Support Asst. event volunteer involvement, including assistance with placing and training volunteers, tracking hours contributed by volunteers and ensuring volunteer efforts are recognized.
11. Coordinate with the Marketing Coordinator to ensure post event and program communications (i.e., thank you letters to event sponsors, partners, participants, hosts, and volunteers) are sent out.
12. Conduct post-event evaluations with volunteers and staff to determine how future events can be improved.
13. Work closely with volunteer coordinator working on organizing registration, greeting, and meeting guests, setting up and breaking down of event activities.
14. Evaluate and select providers of services according to event requirements.
15. Work with Director of Philanthropy to publicize events and promote sponsorships.
16. Plan implement and follow up for all special events to ensure fundraising goals are met.
17. Maintain positive working relations with event committees and ensure member obligations are met.
18. Coordinate event logistics, publicity, including public relations, advertising and collateral material design, production, and distribution.
19. Assist with research, contract approval and travel arrangement for the guest speaker or group.
20. Responsible for silent auction, prize, and in-kind donation solicitation for each event.
21. Cultivate and expand sponsorship development and fulfillment for all events.
22. Supervise and coordinate event contractors.
23. Must be able to work some evenings, Saturdays, and Holidays.
24. Perform other duties as assigned by supervisor.
25. When interacting with persons served and community may share Christian faith, offer spiritual support, or pray as a witness to your personal testimony and the mission of CRM.
Qualifications:
1. Three or more years of experience in corporate events management including sponsorship acquisition required.
2. Associate degree (Public Relations, Business Administration, Nonprofit Management or Social Services) preferred or equivalent experience.
3. Must have valid Florida driver’s license.
4. Must affirm the Statement of Faith and Position Statements
5. Must agree to abide by the Code of Ethics
