Position Summary
We are seeking a detail-oriented and organized HR & Accounts Payable Specialist to support our growing team. This position plays a key role in managing employee onboarding, compliance requirements, payroll coordination, accounts payable processes, and administrative support functions. The ideal candidate is a proactive, self-directed professional who takes ownership of their work, thrives in a fast-paced environment, and continuously seeks opportunities to improve processes and efficiencies. This role requires strong problem-solving abilities, sound judgment, and the confidence to work independently while collaborating effectively with management and team members.
Key Responsibilities
Human Resources
- Coordinate all aspects of new employee onboarding, including preparing, distributing, and collecting required employment documentation.
- Create, track, and manage employment agreements and employee records.
- Set up employee computers, email accounts, and required system access.
- Schedule, organize, and track quarterly employee performance reviews.
- Monitor and coordinate employee drug testing programs to ensure compliance with insurance and DOT requirements.
- Assist with and coordinate insurance audits as needed.
- Review and track pre-employment screenings and background checks.
- Research and evaluate employee benefit programs and assist with benefits administration.
- Track and complete renewals for company licenses, permits, insurance policies, and surety bonds.
- Support recruiting efforts by posting job openings, screening applicants, and coordinating candidate information for hiring managers.
- Maintain accurate personnel records and ensure compliance with company policies and applicable regulations.
Accounting & Payroll
- Manage accounts payable processes, including maintaining payable schedules and preparing payment recommendations for management review.
- Process payments to vendors, suppliers, and subcontractors in a timely manner.
- Review payroll information for accuracy and coordinate payroll submissions with the company's accounting team.
- Maintain and update company asset records and overhead rate schedules.
- Apply updated labor, overhead, and equipment rates within company estimating software.
- Assist with the tracking and allocation of new equipment purchases and other company assets.
- Support financial recordkeeping and administrative accounting functions as assigned.
Qualifications
Required
- Previous experience in Human Resources, Accounting, Bookkeeping, Payroll Administration, or a related administrative role.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Strong written and verbal communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Self-motivated professional with the ability to work independently, prioritize responsibilities, and drive projects to completion with minimal supervision.
- Strong problem-solving skills with the ability to identify challenges, develop practical solutions, and implement improvements proactively.
- Demonstrated ability to take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
- Continuous improvement mindset with a willingness to identify inefficiencies, recommend process enhancements, and help improve company operations.
- Ability to exercise sound judgment and make informed decisions while keeping leadership appropriately informed.
Preferred
- Experience with payroll processing and accounts payable.
- Experience working with HRIS, payroll, or accounting software.
- Knowledge of DOT compliance requirements and employment onboarding procedures.
- Familiarity with construction, contracting, or service-based industries.
