Our work includes waterproofing, restoration and specialty construction projects for public agencies, general contractors and private-sector clients. We have also completed projects for the Michigan Department of Transportation, U.S. Army Corps of Engineers, Air Force and National Guard.

Position Summary
Smith’s Waterproofing is seeking a full-time Office Administrator – Front Desk & Technology Support to serve as the first point of contact for our office and provide administrative and basic technology support across the company. This position is responsible for managing the front desk, answering and routing calls, welcoming visitors, coordinating shared office services and maintaining an organized professional environment. The successful candidate will also serve as the first point of contact for basic technology issues and coordinate more advanced support with our outsourced IT provider. The position will provide limited support for our residential operations by collecting customer information, routing inquiries and assisting with appointment scheduling at the direction of the Residential Operations Manager.
Primary Responsibilities
Front Desk and Office Administration
- Serve as the first point of contact for visitors, customers, vendors and employees.
- Answer, screen and route calls using a multi-line telephone system.
- Monitor the company’s general information email account and route messages to the appropriate person.
- Greet visitors and maintain a professional, organized reception area.
- Receive, sort and distribute incoming mail, packages and deliveries.
- Maintain call logs, visitor information and other front-office records as needed.
- Coordinate conference-room and training-room reservations.
- Assist with meeting and training-session preparation, including room setup, materials, sign-in sheets and audiovisual equipment.
- Provide general administrative support, including filing, scanning, document organization, data entry and document distribution.
- Assist with limited administrative fleet records, such as vehicle registrations, insurance cards and document distribution, as directed by Field Operations.
- Maintain company recognition programs
Technology Support and Coordination
- Serve as the first point of contact for routine employee technology questions.
- Provide basic troubleshooting for computers, printers, scanners, mobile phones, iPads, conference-room equipment and other office technology.
- Assist with the setup and distribution of company-owned phones, tablets, computers and accessories.
- Coordinate new-user equipment and access requests with the company’s outsourced IT provider.
- Submit and track IT support requests that require outside assistance.
- Communicate with the IT provider and employees until support issues are resolved.
- Maintain an accurate inventory of company-owned computers, phones, tablets, chargers and related technology.
- Track the assignment, return and reassignment of company technology.
- Coordinate basic phone-carrier and device-replacement requests.
- Maintain simple instructions and troubleshooting guides for common employee questions.
- Help ensure new employees have the required technology and equipment available before their start date.
This position is not expected to function as a network administrator or advanced IT technician. More complex technology, cybersecurity and systems issues are handled by the company’s outsourced IT provider.
Office and Breakroom Supply Management
- Monitor office, printing, conference-room and breakroom supply levels.
- Maintain established minimum and maximum stock levels for commonly used items.
- Keep office and breakroom supplies organized and accessible.
- Collect routine office-supply requests from employees.
- Submit purchase requests to the company Purchaser.
- Receive, verify and put away completed supply orders.
- Notify the Purchaser of missing, damaged or incorrect items.
- Ensure shared office and breakroom areas remain stocked, orderly and ready for daily use.
Limited Residential Operations Support
- Answer incoming residential customer calls and emails.
- Collect basic customer and property information using an established intake form.
- Route customer inquiries to the Residential Operations Manager.
- Assist with scheduling residential estimate appointments as directed.
- Send appointment confirmations and routine customer communications using approved templates.
- Maintain confidentiality and communicate professionally with homeowners.
Required Qualifications
- Must be at least 18 years old.
- Must currently reside in Michigan and have reliable transportation.
- High school diploma or equivalent required.
- Prior office, administrative or front-desk experience in construction, contracting, skilled trades or a closely related project-based industry is required.
- Strong technology aptitude and willingness to learn new systems.
· Proficiency with Microsoft 365, including OneDrive and SharePoint, with familiarity using Windows-based computers, Apple iOS mobile devices, related applications, and mobile device management (MDM) systems
· Comfortable working with computers, smartphones, tablets, printers, scanners and common office technology.
- Experience using a multi-line telephone system.
- Excellent written and verbal communication skills.
- Professional and courteous when communicating with customers, vendors, visitors and employees.
- Strong organizational skills and attention to detail.
- Ability to manage interruptions while maintaining accuracy.
- Ability to organize, prioritize and follow through on multiple responsibilities.
- Ability to maintain confidential employee and company information.
- Must be authorized to work for any employer in the United States.
Preferred Qualifications
- Two or more years of construction-office or trade-office experience.
- Experience setting up computers, mobile phones, tablets or other employee devices.
- Experience coordinating with an outsourced IT provider or technical help desk.
- Familiarity with Microsoft 365, Windows-based computers and mobile-device applications.
- Experience maintaining equipment, technology or office-supply inventory.
- Familiarity with construction-management, accounting or document-management software.
- Experience supporting meetings, employee orientations or training sessions.
- QuickBooks experience is helpful but is not required.
