Job Summary
Top Rail Fence is looking for an organized, detail-oriented Operations Manager to take ownership of our materials and inventory process. This role is critical to keeping our fencing projects running smoothly – from tracking what’s in stock, to ordering the right materials at the right time, to making sure our sales team has accurate information to build estimates. You’ll work closely with our sales team and directly support the owner in day-to-day operations.
Responsibilities
- Build and maintain an organized inventory system for all fencing materials (posts, panels, gates, hardware, concrete, etc.)
- Review completed estimate and place accurate material orders based on job specifications
- Order materials from suppliers, ensuring correct quantities, pricing, and delivery timelines
- Receive and log incoming material shipments, verifying quantities and quality against purchase orders
- Conduct regular inventory counts/audits and reconcile discrepancies
- Manage relationships with material suppliers and vendors, including negotiation pricing and payment terms
- Coordinate delivery logistics – scheduling material drop-offs to the warehouse or job sites
- Track material usage against estimates to identify overages, waste, or costing issues
- Maintain organization and safety of warehouse storage areas
- Keep vendor pricing and product catalogs up to date to support accurate estimating
- Provide regular reporting to ownership on inventory levels, order lead times, and cost trends
- Support the sales team with material availability and lead-time questions
Requirements
- Strong organizational skills with high attention to detail
- Comfortable using inventory or spreadsheet systems (e.g., Excel, Google Sheets, or inventory software)
- Ability to read and interpret job estimates and material specifications
- Strong communication skills for working with vendors, suppliers, and internal team members
- Valid driver’s license
- Ability to lift up to 80lbs
Preferred Qualifications
- Prior experience in the fencing, landscaping, or general construction industry
- Experience negotiating with vendors/suppliers
- Familiarity with job costing or budget tracking
- Forklift/OSHA certified
Pay: $48,000.00 - $56,200.00 per year
