Columbus Property Management (CPM), a member of Mission First Housing Group is seeking an Assistant Community Manager who assists the Community Manager in complying with all phases of operations that affect the tenancy of individuals within his/her assigned portfolio.
Position Summary
The Assistant Community Manager (ACM) supports the Community Manager in the day-to-day operations of the community, ensuring strong resident relations, operational compliance, and financial accuracy. This role serves as a key contributor to leasing performance, resident satisfaction, and administrative efficiency, while acting as a primary point of contact for residents, vendors, and internal partners. The Assistant Community Manager also provides coverage and leadership support in the Community Manager’s absence as needed.
Key Responsibilities
Property Operations & Resident Services – 30%
· Assist with daily property operations to maintain high standards of service, cleanliness, and curb appeal.
· Conduct routine property and unit inspections; document findings and coordinate maintenance or safety follow-ups.
· Coordinate with vendors and contractors, including scheduling and on-site monitoring of work as directed.
· Respond promptly and professionally to resident inquiries, requests, and concerns; escalate complex issues appropriately.
Financial Support & Administrative Oversight – 25%
· Assist with rent collection activities and monitoring delinquent accounts; prepare and maintain collection reports.
· Support invoice processing, purchase order tracking, and expense documentation in accordance with company procedures.
· Help track operating expenses and assist with budget monitoring and financial recordkeeping.
· Maintain accurate resident files, ledgers, and required documentation.
Leasing & Occupancy Support – 20%
· Support leasing efforts to achieve occupancy and revenue goals.
· Process applications, conduct applicant screenings, prepare lease documents, and assist with renewals.
· Maintain accurate vacancy, traffic, and leasing activity reports.
· Assist with implementation of marketing initiatives and community advertising efforts.
· Monitor local market conditions and provide feedback to the Community Manager as needed.
Resident Relations & Retention – 15%
· Support move-ins, move-outs, renewals, and recertifications; ensure leasing files are complete and compliant.
· Assist in enforcing lease terms fairly and consistently.
· Support resolution of resident complaints and disputes in a professional and timely manner.
· Participate in resident engagement, retention, and community-building initiatives.
Compliance, Risk Management & Reporting – 10%
· Ensure property operations and documentation comply with local, state, and federal regulations and company policies.
· Assist with audit preparation, inspections, and insurance claim documentation.
· Support implementation of safety procedures and risk mitigation protocols.
· Maintain accurate records related to compliance, inspections, and reporting requirements.
Qualifications
Education & Experience
· High School Diploma or equivalent required.
· Minimum of 1–2 years of property management, leasing, or related customer service experience.
· Experience with resident relations, leasing administration, or maintenance coordination preferred.
Skills & Competencies
· Strong organizational, time management, and multitasking skills.
· Solid financial aptitude, including rent collection support and basic reporting.
· Excellent written and verbal communication skills with a customer-service mindset.
· Proficiency in Microsoft Office; experience with Yardi or similar property management software preferred.
· Ability to work both in an office environment and on-site, including walking the property and conducting inspections.
Certifications (Preferred)
· TCS, HCCP, COS, or equivalent professional designation.
· Real estate or property management license, if required by jurisdiction.
Work Environment & Physical Requirements
· Combination of office-based and on-site property responsibilities.
· Occasional evenings or weekends may be required.
· Ability to walk properties, climb stairs, and conduct unit and site inspections.
