About the Opportunity
We are seeking an exceptional Executive Assistant to support a private executive and family in both business and personal operations. This is far more than a traditional administrative position—it is a trusted partnership with someone who values organization, discretion, and initiative.

What You'll DoExecutive Support
- Manage a dynamic executive calendar, scheduling, and meeting coordination
- Monitor emails, correspondence, and follow-up items
- Coordinate projects and maintain action items to ensure deadlines are met
- Track invoices, subscriptions, renewals, recurring expenses, and operational obligations
- Prepare reports, documents, and presentations as needed
- Assist with business operations and special projects
Household & Family Management
- Coordinate household vendors, including maintenance, landscaping, cleaning services, and repairs
- Schedule appointments, deliveries, and home service providers
- Assist with household organization and ongoing projects
- Coordinate tutoring schedules and other family logistics
- Maintain household calendars and provide proactive planning for upcoming needs
Property Management
- Serve as the primary point of contact for rental property vendors and tenants
- Coordinate maintenance requests and repair scheduling
- Track lease renewals, utility accounts, insurance renewals, and important property deadlines
- Monitor property-related expenses and maintain organized records
Travel & Logistics
- Coordinate domestic and international travel arrangements
- Book flights, hotels, rental vehicles, and reservations
- Build detailed travel itineraries
- Adjust travel plans quickly when schedules change
What We're Looking For
We're looking for someone who is:
- Highly organized with exceptional attention to detail
- Naturally proactive and able to anticipate needs before they arise
- Comfortable managing multiple priorities simultaneously
- Professional, trustworthy, and able to maintain complete confidentiality
- An excellent communicator with strong interpersonal skills
- Experienced coordinating vendors and outside service providers
- Tech-savvy and comfortable learning new software quickly
- Adaptable, resourceful, and calm under pressure
Preferred Qualifications
- Previous Executive Assistant, Personal Assistant, Operations Coordinator, or Household Manager experience
- Experience with QuickBooks, Acumatica, or similar accounting software
- Strong Microsoft Office and Google Workspace proficiency
- Project coordination or operations experience is a plus
