Position Summary
The Medical Assistant / Patient Care Coordinator provides both clinical and administrative support to ensure efficient patient flow and a high-quality patient experience. This role assists providers with clinical procedures, coordinates patient care, manages scheduling and communication, and supports insurance and documentation processes. The position requires strong organizational skills, attention to detail, and the ability to balance patient care with administrative responsibilities.
Essential Duties and Responsibilities
Clinical Support
· Room patients and obtain vital signs.
· Ensure patient questionnaires are completed prior to visits.
· Verify annual consents are signed and updated in the electronic medical record (EMR).
· Review and update preventive care alerts (Pap smear, mammogram, DEXA).
· Perform and document diagnostic testing, including:
o EKG
o InBody analysis
o Resting Energy Expenditure (REE)
o ABI testing
o Vision and hearing screening
o Step testing
o Epworth Sleep Scale documentation
· Upload and publish test results in the patient chart.
· Scan and upload clinical documentation.
· Maintain Executive Health Evaluation (EHE) clinical records and cardio books.
· Assist patients with access to and use of the patient portal (Healow).
Patient Coordination & Scheduling
· Schedule patient appointments, including Executive Health Evaluations (EHE).
· Send appointment and questionnaire reminders.
· Coordinate follow-up visits and ongoing care.
· Send EHE confirmations and thank-you communications.
· Respond to patient calls, messages, and refill requests.
Lab & Order Management
· Create lab orders for new and existing patients.
· Upload lab requisitions to Quest or LabCorp.
· Send reminders for required lab work (including 3-month follow-ups).
· Schedule follow-up appointments based on results.
Insurance & Billing Support
· Verify insurance eligibility and benefits.
· Confirm deductible status and update alerts.
· Update visit pricing.
· Add patients to superbills.
· Maintain billing tracking spreadsheets and submit payment information to billing staff.
· Process prior authorizations as needed.
Documentation & Operational Support
· Maintain accurate and up-to-date patient records in the EMR (eClinicalWorks preferred).
· Update patient alerts (visits, preventive care, consents).
· Maintain active patient lists.
· Prepare provider schedules for the upcoming week.
· Coordinate pharmacy communications.
· Send supplements through Fullscript.
· Provide operational support to ensure efficient daily workflow.
Qualifications
· Medical Assistant certification or equivalent clinical experience preferred.
· Previous experience in a medical office or healthcare setting.
· Experience with EMR systems (eClinicalWorks preferred).
· Knowledge of medical terminology and insurance verification processes.
· Strong organizational, multitasking, and communication skills.
· Excellent patient service and attention to detail.
· Ability to maintain confidentiality and comply with HIPAA requirements.
Work Schedule
Hours are based on provider schedules and practice needs.
Pay: $27.00 - $29.00 per hour
