Duties
- Answer incoming calls promptly using multi-line phone systems, ensuring each caller receives attentive and courteous service
- Assist customers with inquiries, account information, and service requests through effective phone etiquette and active listening
- Transfer calls or dispatch messages accurately to the appropriate departments or personnel
- Perform data entry tasks to update customer records, log interactions, and maintain accurate documentation
- Support front desk operations by managing visitor check-ins and providing clerical assistance as needed
- Conduct basic administrative tasks such as filing, scheduling, and maintaining communication logs
- Handle multilingual or bilingual calls to accommodate diverse customer needs, ensuring clear understanding and resolution
Qualifications
- Proven experience in a customer service or clerical role, preferably with front desk or dispatching responsibilities
- Strong communication skills with the ability to speak clearly and professionally in multiple languages (bilingual/multilingual skills are a plus)
- Familiarity with multi-line phone systems and phone etiquette best practices
- Excellent data entry skills with high accuracy and typing speed
- Previous clerical or administrative experience is preferred
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Demonstrated ability to maintain confidentiality and handle sensitive information discreetly
