Position: Outpatient Administration office assistant
Position Summary:
Ark of Rehabilitation Inc. (AORI). We are an Outpatient Mental Health, Behavioral Health and a Residential Services Agency (RSA) provider; licensed by the Department of Health and Mental Hygiene; Maryland Department of Health, Office of Health Care Quality. We are hiring for administrative office assistant; the Office personnel will be able to engage in best practices to ensure alignment with organizational strategy. The candidate will be able to work at Ark office sites in Baltimore city. Services will be provided in the Office and community if needed to support clients needs; This position is a Part-time (15-24 hrs.) a week and can be convert to a Full-Time, Candidate must be knowledgeable about the Program and familiar with Outpatient Mental Health and COMAR regulation.

4. Oversee day-to-day company activity, clients and staff's engagement
5. Answer phones and assist, respond to email and assist in management/dissemination of all outreach communications.
6. customer service orientation to demonstrate understanding of the mission at Ark of Rehabilitation
7. Proficient in Microsoft Office products to include Excel, Publisher, and computer skills
8. Engage in discussion with other providers or entities; like hospitals, clinics, aging and mental health department, in promoting people served and organization needs.
9. familiar with healthcare communications tool e.g. Constant Contact. Working knowledge of Quicken and able to maintain confidential client information.
10. Managing the hiring process, including advertising open positions, reviewing resumes, coordinating and scheduling appointments and interviews, conducting reference and background checks, drafting offer letters; (If requested by your supervisor)
11. Managing the onboarding process for new employees.
12. Maintaining up-to-date personnel and Client’s information and files.
13. Involve in Processing bi-weekly payroll to ensure finances are maintained in an effective up to date and accurate manner.
14. Maintaining the employee handbook, flyer, brochures and organization staffing chart.
15. Overseeing the annual employee review process.
16. Ensuring management actions conform to employee handbook and labor laws.
17. Tracking employee performance documentation.
18. Support in Write and/or edit and coordinate correspondence on behalf of the Organization, and Executive Director
19. Accurately maintain databases; organize and maintain files and records, electronic and physical.
20. Schedule/cancel appointments, maintain calendar, assist in making logistical arrangements as needed.
21. Coordinate Organization functions to include logistics and material preparation and follow-up (evaluations, thank you letters etc.)
22. Maintaining office cleaning before and after end of your shift
23. Engaging with the client’s needs and daily collaborative with outside agencies, facility.
24. Performing other related office and community duties may be required.
Qualifications:
- Candidate must be highly detail-oriented, able to work independently, multi-task, enjoy interfacing with clients, external providers and other staff at all levels, excellent skills in verbal and written communication,
- Human Resources experience. With Marketing skills and proposal skills.
- Candidates must possess a master's degree in business admin or bachelor’s degree in health care related field.
- OR at least 5-6 years of experience relevant to the responsibilities. experience in Outpatient Mental Health, Behavioral Health and Home Health Care
