Construction Office Manager
About Us
We're looking for a highly organized, self-motivated Office Manager to oversee daily office operations while supporting multiple construction projects from start to finish.
Position Overview
This is a fast-paced position that requires someone who can confidently manage office administration, coordinate construction projects, communicate with customers and subcontractors, and keep multiple projects organized simultaneously.
The ideal candidate is proactive, detail-oriented, and comfortable taking ownership of daily operations with minimal supervision.
Responsibilities
- Manage daily office operations
- Answer phones, emails, and customer inquiries
- Prepare estimates, proposals, contracts, invoices, and change orders
- Schedule crews, subcontractors, and deliveries
- Coordinate project timelines from contract to completion
- Obtain permits and schedule inspections
- Maintain project files and documentation
- Track purchase orders, material deliveries, and job costs
- Process payroll and assist with bookkeeping using QuickBooks
- Manage subcontractor compliance, including Certificates of Insurance (COIs), W-9s, and 1099 documentation
- Order office and jobsite materials
- Communicate with customers regarding scheduling, project updates, and final walkthroughs
- Assist with marketing, social media, and lead management
- Support ownership with administrative and operational tasks as needed
Qualifications
Preferred:
- 2+ years of construction office or project coordination experience
- Experience working for a general contractor, subcontractor, or construction company
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- Ability to prioritize multiple projects simultaneously
- Self-starter who requires minimal supervision

Experience with any of the following is a plus:
- QuickBooks Online
- ADP
- Microsoft Office (Excel, Word, Outlook)
- Procore
- Buildertrend
- PlanGrid
- Adobe Acrobat
Typical Schedule
Monday – Friday
8:30 AM – 2:30 PM
**some days you might work till 3-3:30pm**
Pay
$50,000–$62,000 annually, depending on experience.
Pay: $50,000.00 - $62,000.00 per year
