We are seeking a dynamic and results-driven Operations & Marketing Manager to oversee daily operations while leading strategic outreach initiatives that expand our referral network and support the continued growth of our adult behavioral health programs.
Position Summary
This hybrid leadership position combines healthcare operations, front-office management, referral coordination, and community marketing. The ideal candidate is organized, relationship-driven, and passionate about improving patient access to behavioral healthcare.
You will oversee administrative workflows, optimize patient scheduling and referral processes, and represent Outreach Recovery throughout Western Maryland to strengthen relationships with physicians, hospitals, therapists, employers, and community organizations.
Key ResponsibilitiesOperations & Front Office
- Oversee daily front-office operations and provide leadership for medical reception activities.
- Serve as the primary backup for reception during high-volume periods.
- Ensure accurate collection of copayments, outstanding balances, and financial documentation.
- Optimize provider schedules to maximize productivity and reduce patient no-shows.
- Maintain HIPAA compliance and adherence to Maryland behavioral health regulations.
- Improve administrative workflows and enhance the overall patient experience.
Referral Coordination
- Serve as the primary point of contact for incoming referrals from physicians, hospitals, therapists, and community partners.
- Develop and manage referral pipelines from initial inquiry through completed intake.
- Coordinate communication with referring providers to ensure continuity of care.
- Monitor referral conversion metrics and recommend workflow improvements.
Marketing & Community Outreach
- Travel throughout Frederick, Washington, and Allegany Counties to develop relationships with healthcare providers and community partners.
- Promote Outreach Recovery's adult behavioral health services through strategic outreach initiatives.
- Represent the organization at networking events, health fairs, and professional meetings.
- Analyze referral trends and outreach performance to maximize growth opportunities.
QualificationsEducation
Bachelor's degree in one of the following or a related field:
- Healthcare Administration
- Business Administration
- Marketing
- Communications
- Psychology
- Social Work
Experience
- 2–4 years of healthcare operations, office management, healthcare marketing, or medical reception leadership experience.
- Behavioral health or mental health experience strongly preferred.
- Experience managing patient scheduling and referral coordination preferred.
Travel Requirements
- Valid driver's license.
- Reliable personal vehicle.
- Ability to travel regularly throughout Frederick, Washington, and Allegany Counties.
Preferred Qualifications
- Two or more years of experience in behavioral health or substance use disorder services.
- Experience with Electronic Health Record (EHR) systems.
- Familiarity with medical billing platforms and healthcare CRM software.
- Established professional relationships within the Western Maryland healthcare community.
