We are looking for a polished, highly organized, and personable Front Desk & Leads Coordinator to join our growing team. This role is ideal for someone who thrives in a fast-paced environment, enjoys patient interaction, and can confidently manage both front desk operations and lead communication.
This is not simply a receptionist role — we are looking for someone who can help create an outstanding first impression while also guiding prospective patients into the consultation process and supporting long-term patient retention.
Key Responsibilities
Front Desk & Patient Experience
- Greet patients warmly and professionally
- Manage patient check-in/check-out processes
- Answer incoming calls and patient inquiries
- Support scheduling and daily office flow
- Maintain a polished and organized front office environment
Lead Management & Patient Communication
- Respond quickly to new patient inquiries via phone, text, and email
- Communicate the value of the practice and available services
- Guide prospective patients into consultations and appointments
- Follow up consistently with unconverted leads
- Document communication accurately within the CRM system
Med Spa Recall & Retention
- Conduct proactive outreach to existing patients for recurring treatments
- Support appointment rebooking and retention initiatives
- Help maintain strong provider schedules through patient follow-up
Administrative Support
- Assist with data entry and office coordination
- Support operational flow during busy clinic times
- Participate in team meetings and training initiatives
Qualifications
- 2+ years of experience in a medical office, med spa, hospitality, or customer service environment preferred
- Strong communication and interpersonal skills
- Professional appearance and demeanor
- Highly organized with strong attention to detail
- Comfortable with texting, phone communication, and computer systems
- Ability to multitask in a fast-paced environment
- Experience with EMR/CRM systems preferred
- Interest in aesthetics, plastic surgery, or healthcare is a plus
