The Project Assistant supports SJ Hauck Construction's Project Management and Operations teams by coordinating the administrative side of field scheduling, crew assignments, work orders, employee availability, and project logistics.
This position works closely with Project Managers, Foremen, Operations, and field employees to help ensure that each project has the right crew, correct work order, necessary documentation, and clear scheduling information before work begins. The Project Assistant will be a primary user of Assignar - our field scheduling and workforce management system.
What You’ll Do:
- Create and maintain project work orders in Assignar.
- Assign crews and individual field employees to work orders under the direction of Project Management and Operations.
- Maintain accurate daily and upcoming field schedules.
- Ensure the appropriate plans, project documents, job information, and other required attachments are uploaded to each work order before the crew is dispatched.
- Communicate crew assignments and scheduling changes to Foremen and field personnel.
- Coordinate with Project Managers regarding manpower requirements and upcoming projects.
- Track field employee availability, vacation requests, leave requests, call-outs, and other scheduling-related items.
- Update schedules and crew assignments when projects, manpower, weather, or operational needs change.
- Assist with coordinating project logistics, including manpower, equipment, trucking, materials, and other job requirements.
- Identify scheduling conflicts or missing information and bring them to the attention of Project Management or Operations.
- Maintain accurate and organized records related to work orders, scheduling, and field personnel.
- Serve as a communication link between Project Management, Operations, Foremen, and field employees.

- Comfortable communicating with construction field personnel.
- Strong computer skills and ability to learn Assignar and other company systems.
- Dependable, proactive, and able to follow tasks through to completion.
- Previous construction, scheduling, dispatching, or project coordination experience is preferred.
