Position Summary:
The Financial Administrative Assistant is responsible for assisting the Finance Coordinator and Director of Finance to record the financial transactions of our company, as well as assisting with billing and processing invoices and payments.
The successful candidate should have prior experience working in accounts payable and receivable. The candidate should have experience working in an office and have computer skills that allow for use of Microsoft office. The ideal candidate should also be highly organized, detail oriented and process-driven with the ability to handle confidential information. Excellent skills in multi-tasking, time management, great communication, and the ability to handle a busy work environment are essential. Must be able to follow instructions and still be able to take initiative when needed.
Primary Duties and Responsibilities:
1. Perform routine entry of Accounts payable and make weekly payments.
2. Perform routine data entry into accounting, billing, spreadsheet and other organizational systems.
3. Scan, Upload, organize, file and retrieve financial documentation while maintaining organized electronic and paper records.
4. Assist with routine billing preparation and billing activities while following payer-specific procedures.
5. Assist with maintaining billing spreadsheets, denial spreadsheets and follow-up documentation
6. Assist with tracking patient authorizations
7. Escalate suspected errors, discrepancies, or unusual transactions to the Director of Finance or Executive Director.
8. Maintain confidentiality of patient, financial, employee and organizational information.
9. Assist with incoming telephone calls.
10. Perform duties related to client Money Store and client belongings.
11. Assist Director of Finance with gathering documents for audits and other authorized requests.
12. Assist with administrative tasks or special projects as assigned.
13. Maintain professional communication with staff, vendors, payers, and other authorized contacts.
Qualifications:
Minimum GED/High School Diploma and 1 year of bookkeeping experience.
Experience working with Sage 50 or QuickBooks is preferred.
Experience working in health or human service agency is preferred.
Computer skills that allow for us of Work, Excel, and outlook.
Pay: From $17.00 per hour
