About the Role
We are seeking an organized, detail-oriented Compliance & Permitting Coordinator to manage permitting, inspections, licensing, and regulatory compliance for commercial maintenance, repair, and construction projects.
This position will serve as the primary point of contact for permitting and compliance matters, working closely with project managers, account managers, technicians, vendors, clients, and local jurisdictions to ensure work is properly permitted, inspections are completed, and projects remain compliant with applicable codes and regulations.
The ideal candidate is someone who can work independently, manage multiple projects and deadlines, communicate effectively with government agencies and internal teams, and proactively identify potential compliance issues before they create project delays or additional costs.
What You’ll Do
Permitting & Regulatory Compliance
- Prepare, submit, and track permit applications with cities, counties, municipalities, and other regulatory jurisdictions.
- Coordinate permitting requirements for commercial plumbing, electrical, HVAC, mechanical, general repair, and construction projects.
- Review work orders, scopes of work, project documentation, and supporting information to determine whether permits or inspections are required.
- Research and interpret applicable building codes, municipal ordinances, licensing requirements, and regulatory guidelines.
- Monitor changes to permitting requirements and communicate relevant updates to operations and project teams.
- Ensure required permits are obtained before work begins when applicable.
- Track permits from application through approval, inspection, and final closeout.
- Maintain accurate records of active, approved, expired, and closed permits.
Submittals & Equipment Compliance
- Manage and track mechanical and plumbing equipment submittals for applicable projects.
- Review equipment submittals for required documentation, specifications, model information, and compliance with project and jurisdictional requirements.
- Coordinate the collection and submission of equipment documentation, including manufacturer specifications, product data, and other required supporting materials.
- Track submittal status from initial request through review, approval, revision, and final acceptance.
- Coordinate with project managers, contractors, vendors, manufacturers, and permitting authorities to obtain missing or corrected submittal documentation.
- Maintain organized records of approved equipment submittals and supporting documentation.
- Monitor submittal requirements and deadlines to prevent delays to permitting, inspections, equipment procurement, or project completion.
- Identify discrepancies between proposed equipment and project or permitting requirements and communicate required corrections to the appropriate team.
Inspections
- Coordinate required inspections with local jurisdictions and inspectors.
- Schedule inspections based on project timelines and jurisdiction requirements.
- Monitor inspection results and communicate requirements or deficiencies to the appropriate project team.
- Coordinate corrections and re-inspections when work does not pass inspection.
- Follow up with municipalities and inspectors to resolve outstanding inspection items and prevent project delays.
Agency & Internal Communication
- Serve as the primary point of contact for permitting and compliance questions.
- Communicate permit requirements, timelines, fees, inspection requirements, and regulatory conditions to project managers, account managers, technicians, vendors, and other internal stakeholders.
- Communicate directly with city and county permitting departments, plan reviewers, inspectors, and other regulatory agencies.
- Respond to agency comments, correction notices, requests for additional information, and other regulatory inquiries.
- Coordinate resubmittals and corrective documentation as required.
- Provide project teams with clear direction regarding compliance requirements and next steps.
Licensing & Documentation
- Maintain records of applicable contractor, trade, state, and local licenses.
- Monitor licensing requirements, expiration dates, and renewal deadlines.
- Assist with maintaining company compliance documentation and regulatory records.
- Maintain organized digital files for permits, applications, approvals, inspection reports, licenses, certificates, and related correspondence.
- Ensure documentation is complete, accurate, and readily accessible when needed for audits, inspections, or client requests.
Compliance Process Management
- Develop and maintain permit and compliance tracking systems.
- Monitor permit and inspection deadlines to prevent expired permits, missed inspections, project delays, or regulatory issues.
- Identify potential compliance concerns and escalate issues when necessary.
- Work with operations and project management teams to establish processes that ensure permitting requirements are addressed before work is scheduled.
- Assist with developing and improving internal compliance procedures and workflows.
- Maintain accurate reporting related to permitting, inspections, licensing, and compliance activity.
- Support management with research and documentation related to regulatory requirements.
What We’re Looking For
- 2+ years of experience in permitting, regulatory compliance, construction administration, project coordination, or a related field preferred.
- Experience working with municipal or county permitting departments preferred.
- Construction, commercial maintenance, general contracting, or facilities maintenance experience strongly preferred.
- Familiarity with construction permits, inspections, and licensing requirements.
- Working knowledge of construction processes and trades such as plumbing, electrical, HVAC, and mechanical systems is a plus.
- Ability to research and interpret municipal codes, ordinances, regulations, and permitting requirements.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple projects, jurisdictions, applications, and deadlines simultaneously.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Professional and confident communication with government agencies, inspectors, contractors, vendors, clients, and internal teams.
- Ability to identify problems, research solutions, and follow issues through to resolution.
- Proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Teams.
- Comfortable learning and using permitting portals, project management systems, databases, and other software.
- Ability to work independently while also collaborating effectively with a fast-paced operations team.
- Strong time-management skills with the ability to prioritize competing deadlines.
- Ability to adapt to changing requirements, priorities, and project conditions.
Preferred Qualifications
- Experience managing permits across multiple cities or jurisdictions.
- Experience coordinating commercial MEP permits.
- Experience working directly with municipal inspectors or permitting departments.
- Knowledge of plumbing, electrical, HVAC, mechanical, or building codes.
- Experience with commercial facilities maintenance or construction.
- Experience maintaining contractor or trade licensing records.
- Experience developing internal processes, tracking systems, or compliance procedures.
- Experience working with construction management, work order, or field service software.
The Ideal Candidate
The ideal candidate is highly organized and takes ownership of their work. You don’t have to know every permitting requirement in every jurisdiction on day one, but you should be comfortable finding the answer, communicating the requirement, and making sure the issue gets resolved.

Work Environment
This is an office-based position supporting commercial construction, maintenance, and repair operations. The position requires frequent communication with internal teams, contractors, vendors, clients, municipalities, and regulatory agencies.
The workload may involve multiple active projects and jurisdictions simultaneously, requiring strong prioritization, organization, and follow-through.
