Job Summary
We are seeking a dynamic and highly organized Office Administrator to join our team! Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer support with professional phone etiquette.
- Oversee calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace.
- Perform data entry tasks accurately within QuickBooks and other bookkeeping or accounting platforms to ensure financial records are up-to-date.
- Handle clerical responsibilities such as filing, proofreading documents, maintaining organized records, and managing correspondence.
- Support office management by coordinating supplies, maintaining office equipment, and ensuring a clean, organized workspace.
- Assist with personal assistant duties when needed, including travel arrangements or special project support.
- Provide administrative support for medical or dental reception functions if applicable, including patient check-in and appointment scheduling.
Experience
- Proven experience in office administration or clerical roles with a strong background in office management.
- Demonstrated proficiency with productivity software such as Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar).
- Experience using QuickBooks for bookkeeping or financial recordkeeping is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Strong computer literacy with technical proficiency in data entry, filing systems, and using multi-line phone systems.
- Bilingual abilities are a plus to assist diverse client needs; excellent communication skills are essential.
