We are seeking a dynamic and highly organized Office Assistant to join our team! Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service with professional phone etiquette
- Handle data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records
- Support office management functions by coordinating calendar schedules, appointment setting, and calendar management for staff members
- Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide clerical support including proofreading documents, word processing, and preparing reports or correspondence
- Facilitate client communication through phone calls, emails, and in-person interactions while maintaining high levels of professionalism and organizational skills
Qualifications
- Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is preferred
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong verbal and written communication skills; bilingual abilities are a plus
- Experience with multi-line phone systems, data entry, filing, and proofreading highly desirable
- Demonstrated customer service skills with a friendly demeanor at front desk or reception areas
- Technical proficiency in office management tasks such as calendar management, document preparation, and office software applications
- Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
