We are looking for an Executive Assistant / Operations Coordinator who can help our partners and advisory team stay organized, prepared, and focused on serving clients.
Role Overview
The Executive Assistant / Operations Coordinator will provide high-level administrative and organizational support to the firm's partners and advisory team. This person will help manage calendars, communication, meeting preparation, follow-up items, task tracking, internal coordination, client logistics, and special projects.
The right person is proactive, highly organized, detail-oriented, and a self-starter.
Key Responsibilities
- Manage calendars, scheduling, meeting coordination, and reminders for firm partners and team members
- Help prepare for client and internal meetings
- Track tasks, follow-up items, deadlines, and project progress
- Assist with company software: CRM, Microsoft Office and financial planning applications
- Handle confidential client and firm information with professionalism and discretion
- Serve as a reliable point of support for the advisory team and help ensure important details do not fall through the cracks

Schedule and Work Environment
This position is full-time and based in Middleton, WI. The role is expected to be performed during normal business hours. Occasional flexibility may be needed for firm events, meetings, or special projects, but after-hours responsiveness is not expected unless previously discussed.
