Friends of Willow Tree is seeking a warm, organized, and dependable Office Assistant / Front Desk Receptionist to join our team. This position is the heart of our office—serving as the first point of contact for families, supporting daily operations, and helping ensure the health and well-being of our students.

Primary Responsibilities
- Greet students, families, staff, and visitors with warmth and professionalism.
- Answer phones, emails, and general office inquiries.
- Assist families with questions and direct them to the appropriate staff member.
- Maintain a welcoming and organized front office environment.
Office Administration
- Manage daily office operations and organization.
- Track and maintain student attendance records.
- Prepare and organize documents, forms, and files.
- Order office, classroom, and health room supplies.
- Coordinate deliveries and maintain inventory.
- Assist with program communications, scheduling, and administrative projects.
- Provide administrative support to the Executive Director
Student Health & First Aid
- Provide basic first aid for students with minor injuries or illnesses.
- Assess students who become ill during the day and communicate with parents when needed.
- Maintain student health records and medication logs according to school policies.
- Monitor and restock health office supplies.
- Respond calmly and confidently during student health situations.
General School Support
- Assist with events and special projects.
- Support teachers and staff with day-to-day needs.
- Help maintain a safe, organized, and positive campus environment.
- Perform other duties as assigned to support the overall success of the school.
Qualifications
- Excellent organizational and multitasking skills.
- Strong communication and customer service abilities.
- Comfortable working with children of all ages.
- Ability to maintain confidentiality and professionalism.
- Proficient with computers, Google Workspace, and basic office software.
- Previous office, receptionist, administrative, or school experience preferred.
- CPR and First Aid Certification preferred (or willingness to obtain certification).
Physical Requirements
This is an active position that requires mobility throughout the campus. The ideal candidate must be able to:
- Walk throughout the campus multiple times each day.
- Stand for extended periods.
- Lift and carry up to 30 pounds.
- Bend, reach, stoop, and occasionally kneel.
- Move office supplies, classroom materials, and deliveries as needed.
