Position Summary
The Ministries Administrator serves as a central support hub for ministry operations at Transformation Church. This individual ensures the smooth execution of ministry initiatives, events, and church engagement systems through exceptional organization, administration, and project management.
This role provides administrative support across multiple ministry areas, including Connect Groups, First Serve, events, registrations, facilities coordination, staff culture, and church-wide systems. The ideal candidate is highly organized, detail-oriented, proactive, and passionate about supporting ministry through excellent systems and follow-through.
Key Responsibilities
Ministry Operations & Administration
- Manage and maintain church management systems including Planning Center, ClickUp, Google Workspace, Checkr, and other ministry platforms.
- Generate weekly reports and maintain church-wide data related to attendance, groups, serving, and ministry engagement.
- Manage internal communication systems, shared calendars, and office information displays.
- Provide administrative support for ministry events, including registrations, purchasing, communications, vendor coordination, and logistics.
- Process and manage connection cards and guest follow-up systems.
- Oversee registrations and communication for church events, baptisms, baby dedications, leadership gatherings, and other ministry initiatives.
- Create and distribute ministry communications, reports, and team resources.
Connect Groups & First Serve
- Oversee administrative systems for Connect Groups, including data entry, reporting, attendance tracking, and surveys.
- Maintain Planning Center Groups and related ministry databases.
- Coordinate Connect Group leader background checks and administrative support for leader trainings and rallies.
- Assist with First Serve processes, including registrations, communication, materials, and coordination.
- Serve as a resource for ministry coaches and team leaders regarding ministry systems and processes.
Facilities & Vendor Coordination
- Support and maintain relationships with facility contractors and vendors, including janitorial, grounds, HVAC, IT, and maintenance providers.
- Coordinate maintenance requests, facility repairs, and weekly facility walkthroughs.
- Oversee vendor invoices and facility-related administrative processes.
- Manage facility supply inventory and coordinate ordering of operational and ministry supplies.
- Recruit, develop, and lead volunteers serving in facility support roles.
Security & Facility Scheduling
- Manage building access, alarm systems, keys, and security procedures for staff and volunteers.
- Coordinate facility scheduling for church events, ministry activities, and external building use.
- Maintain shared facility calendars and building use agreements.
- Ensure appropriate open and close procedures are followed for services and events.
Staff Care & Culture
- Coordinate staff appreciation efforts, celebrations, birthdays, anniversaries, and milestone recognition.
- Communicate office updates, holiday schedules, and internal announcements.
- Assist with planning and logistics for staff gatherings, retreats, and special events.
- Support cross-departmental projects and executive team initiatives as needed.
General Office Administration
- Manage office supply inventory and purchasing.
- Monitor and respond to designated ministry email accounts.
- Coordinate copier maintenance and office equipment needs.
- Support weekly administrative processes and reporting.
- Build, lead, and oversee Administrative Serve Team volunteers.
- Respond to communication in a timely and professional manner.
- Attend all required staff meetings, ministry events, and church functions.
QualificationsRequired Skills & Experience
- Strong administrative, organizational, and project management skills.
- Exceptional attention to detail and follow-through.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency with Google Workspace and Microsoft Office applications.
- Experience with church management systems (Planning Center preferred) or similar database/software platforms.
- Demonstrated ability to lead volunteers and work collaboratively across teams.
- Ability to maintain confidentiality and exercise sound judgment.
Preferred Qualifications
- Previous ministry, nonprofit, or church staff experience.
- Experience with Planning Center, ClickUp, Checkr, or comparable systems.
- Experience in volunteer management and event coordination.

Physical Requirements
- Ability to move throughout multiple church facilities.
- Ability to occasionally lift and carry supplies weighing up to 30 pounds.
- Availability to work evenings and weekends as ministry events require.

Pay: $35,000.00 - $45,000.00 per year
