We are seeking an organized, detail-oriented Parts Clerk who thrives in a fast-paced environment and enjoys solving problems. This role is critical to keeping our technicians productive by ensuring the right parts are sourced, ordered, tracked, and delivered on time.
The ideal candidate is customer-focused, highly organized, and able to manage multiple priorities while communicating effectively with technicians, vendors, dispatch, and customers.
Position Summary
The Parts Clerk serves as the primary coordinator between field technicians, the Parts Manager, vendors, and customers. This position researches parts, creates purchase orders, monitors backorders, coordinates deliveries, maintains inventory records, and ensures technicians receive the correct parts to complete repairs efficiently.
Essential ResponsibilitiesParts Research & Ordering
· Research OEM and aftermarket parts using equipment model and serial numbers.
· Source parts from approved vendors while balancing cost, quality, and availability.
· Create and process purchase orders accurately.
· Verify pricing and delivery expectations.
· Identify substitute or alternate parts when appropriate.
Technician Support
· Assist field technicians with parts identification and technical lookup.
· Coordinate emergency and same-day parts requests.
· Ensure technicians receive required parts before scheduled service.
Vendor Management
· Build relationships with manufacturers and suppliers.
· Resolve vendor discrepancies, shortages, and warranty claims.
· Monitor vendor lead times and shipping performance.
Inventory Control
· Maintain accurate inventory records.
· Assist with cycle counts and inventory audits.
· Monitor stock levels and recommend replenishment.
· Help identify obsolete inventory.
Administrative Support
· Update service software with parts information and order status.
· Document purchase orders, tracking numbers, and delivery dates.
· Process credits and returns.
Customer Service
· Communicate professionally regarding parts availability and repair timelines.
· Support the service team in delivering exceptional customer service.
QualificationsRequired
· Strong computer and organizational skills
· Excellent communication skills

· Ability to work independently and as part of a team
Preferred
· Commercial kitchen equipment experience
· Appliance, or mechanical parts experience
· OEM parts lookup experience
· ERP or service management software experience
· Forklift certification (preferred)
Physical Requirements
· Lift up to 50 pounds.
· Stand, bend, and walk throughout the warehouse.
· Safely operate warehouse equipment.
· Occasional local travel for parts pickup or delivery.
