Position Summary
The Shipping & Receiving Coordinator is responsible for managing the day-to-day shipping and receiving operations to ensure the timely, accurate, and efficient flow of materials and finished products throughout the organization. This hands-on role supports production, purchasing, inventory, and customer service by receiving incoming shipments, preparing outbound orders, coordinating freight carriers, and maintaining accurate shipping documentation.
This position requires exceptional attention to detail, strong organizational skills, and the ability to thrive in a fast-paced manufacturing environment where accuracy and customer satisfaction are critical.
Key ResponsibilitiesShipping Operations
- Prepare, package, and ship customer orders, spare parts, and production equipment in accordance with company standards and customer requirements.
- Coordinate domestic and international shipments using LTL, FTL, parcel, air freight, and ocean freight carriers.
- Generate shipping documentation including Bills of Lading (BOLs), packing slips, commercial invoices, export documentation, and shipping labels.
- Schedule pickups and deliveries with freight carriers and logistics providers.
- Verify shipment accuracy, ensuring the correct products, quantities, and documentation accompany every shipment.
- Work with Customer Service and Project Management to meet required shipping schedules and customer deadlines.
- Properly package equipment to prevent damage during transportation.
Receiving Operations
- Receive incoming materials, components, and supplies from vendors and subcontractors.
- Inspect shipments for damage, accuracy, and completeness against purchase orders and packing slips.
- Report discrepancies, shortages, or damaged materials to Purchasing and the Inventory Supervisor.
- Label and process incoming materials according to company procedures.
- Coordinate incoming freight deliveries and communicate receipt of critical components to internal departments.
Inventory & Warehouse Support
- Execute ERP transactions for incoming and outgoing shipments, inventory transfers, and receipts.
- Assist with inventory organization and material movement throughout the facility.
- Support cycle counts and physical inventories as assigned.
- Maintain clean, organized, and clearly identified warehouse, shipping, and receiving areas.
- Safely load and unload trucks using forklifts and other material handling equipment.
Logistics & Continuous Improvement
- Monitor shipping costs and recommend improvements to improve efficiency and reduce freight expenses.
- Assist with developing and maintaining standard shipping procedures.
- Ensure compliance with shipping regulations, hazardous material requirements (when applicable), and company safety policies.
- Support continuous improvement initiatives related to warehouse organization, shipping accuracy, and material flow.
Key Qualifications
- 2+ years of shipping, receiving, warehouse, or logistics experience, preferably in a manufacturing environment.
- Experience coordinating LTL, parcel, and freight shipments.
- ERP experience preferred (Genius ERP experience is a plus).
- Experience with UPS, FedEx, DHL, and freight carrier shipping software preferred.
- Forklift certification or willingness to obtain certification.
- Basic computer skills including Microsoft Outlook, Excel, and Word.
- Strong organizational and time management skills.
- Excellent attention to detail and commitment to accuracy.
- Ability to lift up to 50 lbs and safely operate material handling equipment.

Compensation
Hourly Pay Range: $22.00 - $28.00 per hour, depending on experience and qualifications.
