We're looking for a highly organized, proactive, and detail-oriented Design Studio Administrator to become the operational backbone of our growing design team. This role is perfect for someone who enjoys keeping projects moving, supporting a collaborative team, and creating calm behind the scenes so designers can focus on what they do best.
What You'll Do
As the Design Studio Administrator, you'll help guide projects from initial consultation through installation by coordinating communication, organizing information, and ensuring every detail stays on track.
Studio Operations
- Coordinate the daily administrative operations of the Design Studio.
- Maintain project schedules and deadlines.
- Prioritize workflow and help keep projects moving efficiently.
- Develop and improve studio systems and administrative processes.
- Maintain organized digital and physical filing systems.
- Continually refine workflows that improve efficiency and client experience.
Client Experience
You'll serve as one of the primary points of contact throughout each client's journey by:
- Scheduling consultations, meetings, presentations, and site visits.
- Coordinating communication between clients, designers, consultants, and contractors.
- Preparing design proposals, contracts, invoices, and project documentation.
- Keeping clients informed of project milestones and timelines.
- Responding professionally and promptly to client questions.
- Helping create an exceptional experience from the first conversation through project completion.
Project Coordination
Working alongside our Design Team and Landscape Project Manager, you'll help ensure projects stay organized by:
- Tracking project progress.
- Monitoring deadlines and upcoming tasks.
- Coordinating consultants, vendors, and subcontractors.
- Assisting with procurement and material ordering.
- Supporting installation scheduling.
- Organizing project closeout documentation.
Administrative Support
- Manage calendars for the Design Team.
- Coordinate meetings and appointments.
- Prepare invoices, purchase orders, contracts, and financial paperwork.
- Track employee PTO and administrative records.
- Maintain office supplies and studio organization.
- Keep project files current and organized.
Documentation & Systems
Maintain organized records including:
- Client files
- Site notes
- Contracts
- Estimates
- Site surveys
- Airtable databases
- Shared digital files
- Studio templates
- Project timelines
You'll also help document procedures and improve systems that make our studio more efficient as we continue to grow.
Business Development Support
- Assist with proposals and presentation materials.
- Support marketing initiatives.
- Research prospective clients and project opportunities.
- Help develop new services and studio initiatives.
- Support efforts to maintain a healthy pipeline of exciting design projects.
What We're Looking For

- Collaborative and enjoys supporting a creative team.
- Proficient with Google Workspace and Microsoft Office.
- Experience with Airtable or project management software is preferred.
- Experience in landscape design, architecture, interior design, construction, or another creative professional office is a plus.
