Position Summary
This role will coordinate office systems, vendors, building maintenance, workplace technology, employee onboarding support, administrative functions, special projects, travel arrangements, and internal operational initiatives. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing a wide variety of responsibilities simultaneously.
Office Operations
- Manage day-to-day office operations and ensure a professional, organized workplace environment
- Order and maintain office, warehouse, and breakroom supplies
- Coordinate company travel, lodging, and transportation arrangements
- Assist leadership with administrative projects and operational initiatives
- Support company meetings, events, and trade show logistics
Facilities & Building Management
- Coordinate building maintenance, repairs, inspections, and preventative maintenance
- Manage relationships with contractors, and service vendors
- Ensure office, showroom, and common areas remain clean, functional, and presentation-ready
- Coordinate office improvements, relocations, and workplace projects as needed
Technology & Systems Coordination
- Coordinate employee technology setup, including computers, email accounts, phone systems, and software access
- Serve as the primary liaison with IT providers and technology vendors
- Track company equipment and technology assets
- Help ensure company systems remain organized, operational, and properly maintained
Administrative Support & Special Projects
- Provide administrative support to company leadership and department managers as needed
- Prepare reports, presentations, spreadsheets, and internal communications
- Assist with scheduling meetings, coordinating calendars, and managing logistics for company initiatives
- Support the execution of cross-functional projects from planning through completion
- Research vendors, services, and operational solutions to improve efficiency and reduce costs
- Track project timelines, action items, and follow-up tasks to ensure successful execution
- Assist with trade shows, company events, showroom activities, and other strategic initiatives
- Coordinate and support special projects assigned by leadership
- Help identify opportunities to improve operational processes, systems, and workflows across the organization
Qualifications
- 3+ years of experience in office management, operations, workplace management, administration, or a related role
- Strong organizational and project management skills
- Excellent communication and follow-through
- Ability to prioritize multiple projects and deadlines simultaneously
- Proficiency with Microsoft Office and Google Workspace
- Experience coordinating vendors, facilities, or workplace operations preferred
- Experience supporting employee onboarding and administrative HR processes preferred
- Comfortable working in a fast-paced, entrepreneurial environment
Location
This is an on-site position based in Los Angeles, California.
Pay: $80,000.00 - $85,000.00 per year
