Position Summary
The Administrative Support Specialist provides operational and administrative support to the Program Manager and Program Leads across all contract task areas. This individual assists with report preparation, database maintenance, marketing material production, scheduling, and general program administration.
Key Responsibilities
- Provide administrative support to the Program Manager and Program Leads, including scheduling meetings, preparing agendas, and maintaining action item logs
- Assist with preparation and formatting of monthly, quarterly, and annual reports for submission to MARAD/USMMA
- Maintain and update graduate tracking databases and program records; generate routine data extracts and summaries
- Support production of marketing and promotional materials for career services and outreach activities, including brochures, flyers, and presentation decks
- Coordinate travel arrangements and logistics for career fairs, outreach events, and site visits
- Manage correspondence, filing, and document control in compliance with federal records management requirements
- Assist with onboarding coordination and administrative aspects of subcontractor management
Required Qualifications
- High school diploma required; associate's or bachelor's degree preferred
- Minimum 2 years of general administrative experience; prior experience in the maritime or marine industry preferred
- Experience producing promotional and marketing materials for the maritime industry
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard database or CRM tools
- Strong attention to detail, organizational skills, and ability to manage multiple concurrent tasks
- Professional written and verbal communication skills
- Ability to obtain and maintain federal suitability clearance
Preferred Qualifications
- Experience supporting federal government contracts
- Familiarity with MARAD, USMMA, or maritime education programs
- Experience with SharePoint, project management tools, or federal reporting systems
Pay: From $45,000.00 per year
