Crossroads Counseling Center is a well-established outpatient behavioral health practice seeking a dependable, organized, and customer-focused Medical Administrative Assistant to join our growing administrative team. This position plays a vital role in supporting our clinicians, maintaining accurate records, assisting with insurance and billing processes, and ensuring exceptional service to our clients.

Position Summary
The Medical Administrative Assistant provides administrative and operational support for the practice while helping maintain efficient front office operations, accurate client records, insurance verification, billing support, and office organization.
Primary Responsibilities
- Verify Medicaid and commercial insurance eligibility and update client records within the Electronic Health Record (EHR).
- Review, research, and resolve rejected or denied insurance claims.
- Process and document client accounts for collection reporting when appropriate.
- Assist with financial hardship applications and maintain related documentation.
- Prepare clinician chart closure lists and complete chart closure documentation.
- Maintain both electronic and paper client records, including filing and retrieval of charts.
- Process incoming and outgoing mail.
- Provide front desk coverage as needed by:
- Answering telephones
- Scheduling and rescheduling appointments
- Checking clients in and out
- Collecting copays and balances
- Maintain clinical testing materials and inventory.
- Prepare weekly office and janitorial supply reorder lists.
- Assist with monthly staff luncheons and office events.
- Help maintain a clean, organized, and welcoming office environment.
- Provide support to other administrative team members as needed.
Qualifications
Required
- Minimum 25 years of age
- High school diploma or equivalent
- Strong organizational skills and attention to detail
- Excellent customer service and communication skills
- Ability to switch between tasks and work independently
- Proficiency with computers and Microsoft Office
Preferred
- Experience in a medical, behavioral health, or clinical office
- Knowledge of electronic health records (EHR)
- Experience with insurance verification and Medicaid eligibility
- Medical billing, denied claims, or revenue cycle experience
- Medical records management experience
