Administrative Assistant – Manufacturing Operations
Reports To: Plant Manager
Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support the Plant Manager in a fast-paced nutraceutical manufacturing environment. This role is central to ensuring smooth daily operations by coordinating production documentation, supporting inventory flow, and maintaining compliance with internal quality standards and cGMP requirements. The ideal candidate thrives in a dynamic setting, communicates clearly across departments, and can efficiently shift between multiple priorities without sacrificing accuracy.
Key Responsibilities
· Coordinate, prepare, and issue work orders in alignment with production schedules
· Generate and manage batch records, ensuring completeness, accuracy, and compliance with cGMP standards
· Perform batch record reconciliation, identifying and resolving discrepancies in a timely manner
· Support shipping and receiving operations, including documentation, scheduling, and communication with logistics partners
· Maintain organized and audit-ready documentation systems (physical and digital)
· Act as a liaison between production, quality assurance, and inventory teams to ensure seamless workflow
· Assist with inventory tracking, material usage documentation, and related reporting
· Provide general administrative support to the Plant Manager and operations team
· Contribute to continuous improvement efforts by identifying inefficiencies and proposing solutions
Qualifications
· 2+ years of administrative experience, preferably in a manufacturing or nutraceutical environment
· Familiarity with batch records, work orders, and GMP documentation practices strongly preferred
· Exceptional organizational skills and attention to detail
· Strong written and verbal communication skills
· Ability to prioritize and multitask in a fast-paced production setting
· Proficiency in Microsoft Office (Excel, Word, Outlook); ERP experience is a plus
· Team-oriented mindset with a proactive and problem-solving approach

Compensation & Benefits
Full-time position
$24–$27 per hour, depending on experience
