Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will possess strong organizational skills and a commitment to providing exceptional support in a fast-paced environment. This role involves managing various administrative tasks, ensuring efficient office operations, and delivering outstanding customer service.
Responsibilities
- Manage operations, including greeting visitors and handling inquiries.
- Operate multi-line phone systems, demonstrating excellent phone etiquette while assisting callers.
- Perform data entry, filing, and clerical duties to maintain organized records.
Invoicing and coding invoices is a must.
- Utilize Microsoft Office and Google Workspace for document preparation, scheduling, and communication.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing client needs and inquiries promptly.
- Proofread documents for accuracy and clarity before distribution.
- Support bookkeeping tasks as needed, including basic accounting functions in QuickBooks.
- Maintain office supplies inventory and assist with office management tasks to ensure smooth operations.
- Collaborate with team members to enhance workflow efficiency and improve administrative processes.
Requirements
- Proven experience in an administrative role or similar position with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with QuickBooks is preferred but not mandatory.
- Excellent organizational skills with the ability to manage multiple tasks effectively.
- Strong typing skills with attention to detail for accurate data entry and documentation.
- Bilingual candidates are highly encouraged to apply for enhanced communication capabilities.
- Previous experience as a Restaurant Admin, dental receptionist or medical receptionist is a plus.
- Demonstrated ability to provide exceptional customer service and support in a professional manner.
- Strong time management skills to prioritize tasks efficiently within deadlines.
