Position Overview
We are seeking a highly organized and dependable Administrative Assistant to support our Executive Assistant with day-to-day operations. This is a year-round, part-time position with consistent hours and the opportunity for additional hours during our busy season.
We’re looking for someone who can help maintain structure across customer data, internal systems, and daily office operations.
The ideal candidate is detail-oriented, comfortable with technology, and capable of handling a variety of administrative and customer-facing tasks
Schedule
- Part-time: approximately 30–35 hours per week
- Preferred schedule: 5 days per week (6–7 hour shifts)
- Additional hours may be available September through February
Key Responsibilities
Document & File Management
- Scan and digitize physical documents with accuracy
- Maintain organized digital filing systems (Google Drive)
- Manage physical document organization and storage
- Ensure proper naming conventions and document consistency
Data & Administrative Support
- Compile and maintain customer data (contact info, pricing, inventory, updates)
- Track and organize receipts and internal records
- Create and manage labels (file folders, inventory, etc.)
- Assist with internal reporting and data entry
Customer & System Support
- Answering and making calls as needed, assisting customers professionally
- Process payments and update customer information in QuickBooks
- Work within Housecall Pro to update customer profiles, pricing, and job details
Mail & Office Operations
- Manage incoming/outgoing mail, including certified mail
- Assist with mail merge projects using Google Workspace
- Support general office organization and workflow improvements
Required Skills & Qualifications
- Strong organizational and time management skills
- High attention to detail and accuracy
- Proficiency in Google Workspace (Drive, Docs, Sheets)
- Comfortable handling multiple systems and tasks throughout the day
- Strong communication skills and professionalism with customers
- Ability to work independently and stay on task
Preferred Experience (Not Required, but a Plus)
- Experience with Housecall Pro
- Familiarity with QuickBooks
- Background in administrative operations, data entry, or office support
- Experience with Canva, marketing, or sales support
