Position Summary
HOA Solutions is seeking a dependable and organized Office Coordinator to support daily office operations. This position serves as the first point of contact for visitors, customers, and employees while providing administrative support across multiple departments. The ideal candidate is detail-oriented, professional, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage daily incoming and outgoing mail and shipments.
- Answer, screen, and transfer incoming phone calls.
- Maintain accurate filing systems, including retrieving, organizing, and updating documents.
- Welcome visitors and direct them to the appropriate staff members.
- Manage and maintain the company's online fleet management system.
- Distribute documents and correspondence as needed.
- Prepare reports and assist with travel arrangements.
- Retrieve and organize monthly credit card receipts and prepare documentation for reconciliation.
- Operate office equipment including copiers, scanners, and other office machines.
- Respond promptly and professionally to inquiries from clients, vendors, and internal staff.
- Support a team-focused environment that promotes employee success and collaboration.
- Assist with other administrative and office support duties as assigned.
Qualifications Required
- High School Diploma or equivalent.
- Minimum of three (3) years of experience in an administrative, receptionist, or office support role (industry experience not required).
- Excellent communication, organizational, and problem-solving skills.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
- Ability to work independently and efficiently while meeting deadlines.
- Fluent in English.
- Reliable attendance and punctuality.

Physical Requirements
- Ability to sit for extended periods of time.
- Occasional bending, stretching, reaching, and lifting.
- Manual dexterity and range of motion sufficient to operate standard office equipment.
- Ability to occasionally lift up to 50 pounds.
- Some physical activity may be required, including working in tight spaces and climbing ladders.
- Specific vision abilities include close vision and the ability to adjust focus.
Pay: From $25.00 per hour
