Toska Spa is seeking a highly organized, detail-oriented Assistant Spa Manager - Operations & Client Experience to support the daily operations of our luxury skincare and facial spa in Charlotte. This position is ideal for someone who thrives in a fast-paced, high-touch environment and enjoys balancing behind-the-scenes operations with exceptional client service.
Working closely with the Spa Director and ownership, the Assistant Spa Manager will play an important role in keeping daily operations organized, supporting the front desk team, overseeing inventory and ordering, and ensuring the spa consistently operates at the level of service expected from the Toska Spa brand.
Key Responsibilities
Operations & Inventory
- Manage and maintain accurate inventory of retail products, professional products, supplies, and operational necessities.
- Monitor inventory levels and proactively prepare and place orders to prevent shortages.
- Receive incoming orders, verify shipments, organize products, and maintain accurate inventory records.
- Assist with vendor communication, order tracking, discrepancies, and backorders.
- Help maintain organized back-stock, treatment rooms, retail areas, and operational storage.
- Support daily spa operations and identify issues before they impact the client or staff experience.
Front Desk & Client Experience
- Support and oversee front desk operations to ensure a polished, seamless client experience.
- Assist with appointment scheduling, client communications, checkout, retail purchases, gift cards, and other client needs.
- Help resolve client concerns professionally and with discretion.
- Ensure front desk standards, procedures, and service expectations are consistently followed.
- Step in to support the front desk during busy periods or when additional coverage is needed.
Team Support & Leadership
- Assist with training and continued development of front desk team members.
- Help maintain accountability for spa policies, procedures, appearance standards, and service expectations.
- Support staff scheduling and daily coverage as needed.
- Communicate operational updates and priorities clearly to the team.
- Serve as a reliable leadership presence when the Spa Director is unavailable.
Administrative Support
- Assist with reporting, documentation, organization, and other administrative responsibilities.
- Support retail and professional product ordering and tracking.
- Assist with special events, promotions, launches, and other spa initiatives.
- Work closely with management to continuously improve systems, efficiency, and the overall client experience.
What We’re Looking For
The ideal candidate is someone who is proactive, highly organized, dependable, and comfortable taking ownership of responsibilities. This role requires someone who notices what needs to be done without always needing to be directed and who can confidently shift between operational tasks, team support, and client-facing responsibilities.
Candidates should have:
- Previous experience in spa, hospitality, retail, beauty, wellness, or luxury service preferred.
- Previous leadership, supervisory, or management experience preferred.
- Strong organizational skills and exceptional attention to detail.
- Experience with inventory management and ordering is highly preferred.
- Excellent written and verbal communication skills.
- Strong problem-solving skills and the ability to remain composed in a fast-paced environment.
- Confidence working with scheduling, POS, inventory, and other business systems.
- A professional appearance and demeanor consistent with a luxury environment.
- Ability to maintain discretion and confidentiality.
- Availability to work a flexible schedule, including weekends as needed.
