Job Description:
The Receptionist/Office Assistant role is an important role within our organization. This vital function is the first point of contact for our company and manages the flow of visitors and incoming calls in a professional, helpful and efficient manner. You will be responsible for efficiently maintaining an organized, welcoming and professional-looking front office space. As the first face a guest or client will see upon entering the office, the Receptionist must be articulate, friendly, detail-oriented and have stellar customer service and interpersonal skills. As Office Assistant, this role will provide general office support with a variety of clerical activities and related tasks which include Board and other meetings and workshop planning and assembling materials related to such events. The requirements for this function include a high-level of organization, the ability to multi-task and diligent follow through. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks, displaying composure, while working diligently to fulfill the functions of this role.
Job Responsibilities:
- Warmly welcome those who come in to the office, assisting and overseeing visitors, vendors and other persons entering the office environment, providing them a professional welcome above and beyond in their service approach.
- Be the administrative contact for all meetings, conferences and workshops, including Board meetings and other functions, usually held internally. Includes scheduling meeting rooms, insuring the necessary supplies, beverages, video conferencing equipment etc is on hand prior to meetings. This includes set-up, providing coffee and beverage and snack service, etc, including assisting caterers with setup and clean-up of event meals throughout all meetings, conferences and workshops.
- Answers all incoming telephone calls made to the firm, by following firm/phone etiquette expectations and ensuring communication at a professional level. This includes screening and transferring all incoming calls to the appropriate department or party.
- Receive, sort and forward incoming mail, packages and email correspondence in a timely manner.
- Assists in the ordering, receiving, stocking, and distribution of office and refreshment supplies.
- Assists with other related clerical duties including but not limited to copying, faxing, filing and collating.
- Provide direct administrative support to the Executive Director and to the Director of Information Technology, and other managerial personnel, as needed.
- Assist the Director of IT with IT-related tasks, such as applying software patches, inventory management, and other IT-related tasks as assigned.
- Provide direct administrative support to the Executive Director and others, as requested and assigned.
- Perform other duties as requested or assigned
- Occasional overtime will be required – specifically during meetings, conferences, and workshops.
Job Skills:
- Excellent verbal communication and writing skills, along with ability to multi-task.
- Excellent organizational and time management skills.
- Solid analytical abilities and solid ‘common-sense approach to problem-solving.
- Exceptional attention to detail is a must for this position.
- Proficiency with Microsoft Office Suite is required for this position.
Requirements:
- Associates, to a 4 year College degree is preferred for this position.
- Candidates are requested to submit a Letter of Interest, along with 3 references and will be required to undergo a background check and drug screening.
Job Type: Full-time
Pay: $17.00 - $25.00 per hour
