Job description:
The front office receptionist position is responsible for starting and ending the patient’s daily visit at HD Retina Eye Center Ltd. This position is the first contact experience with our office and as such must present with a happy, friendly demeanor, and be efficient while checking patients in.
The front office receptionist person should understand his/her own scope and limitations, seeking advice and assistance when necessary. Specific duties may include, but are not limited to the following:
- Support the mission of the practice to provide a patient-focused quality customer service environment that maximizes satisfaction, while maintaining a cordial work environment shared with peers.
- Maintain HIPAA compliance during communications with patients.
- Arrive to work by 7:45 am and attend work consistently, regularly, timely.
- Arrive to work unimpaired.
- Support check-in when needed.
- Check out patients, schedule them for their follow up appointments.
- Collect balances and self pay accounts.
- Balance any posted collections at end of each day and provide page 1 of daily sheet to billing department along with copies of any credit card payments or patient checks.
- Call no show patients and reschedule them
- Maintain the schedule efficiently and according to the doctors requirements
- Schedule new patient referrals by accessing referral folder and scheduling patients as per the time lines requested by the triage physician (document in the “recall” section of patient chart each time a call is attempted, and put recall out 2 days). If at the end or 3 attempts the patient is not reached, then Fax referring doctor a notice.
- Answer phones.
- Manage the online automated text message and appointment requests through our mypatientmessages/Weave website.
- Scan documents into the patient chart as needed.
- Provide medical records to insurance companies or attorneys as requested and authorized by the treating physician.
- Cross train check in desk to be able to cover check in on days that team member is absent.
- Communicate next level problem solving to the practice manager.
- Maintain composure and behave professionally in difficult situations and know when to involve a manager.
- Help with verification of demographic and insurance information via real time eligibility or utilizing payor websites.
- Understand the company’s policies.
- Learn our proprietary software systems for efficient electronic management of patient chart.
- Assume other projects or responsibilities as assigned by Practice Manager.
Pay: From $16.00 per hour
