The Executive Operations Coordinator serves as the central administrative and governance resource for the Executive Office, supporting the Chief Executive Officer, executive leadership team, and Workforce Development Board in the coordination and execution of organizational priorities. Responsibilities include coordinating executive office operations, Board governance activities, executive projects, organizational initiatives, Board meetings, official records, executive communications, and cross-functional projects while maintaining confidentiality and ensuring compliance with Board policies and governance requirements.
Candidates should have a minimum of three to five years of progressively responsible experience providing executive administrative support, coordinating Board governance, project management, office administration, or related work. A degree in Business Administration, Public Administration, Communications, Office Administration, or a related field is preferred. Experience supporting executive leadership, governing boards, public agencies, nonprofit organizations, or quasi-governmental organizations is highly desirable. Equivalent combinations of education, training, and experience will be considered.

JOB TITLE: Executive Operations Coordinator
REPORTS TO: Chief Executive Officer
OBJECTIVE: The Executive Operations Coordinator serves as the central administrative and
governance resource for the Executive Office, supporting the Chief Executive Officer, executive
leadership team, and Workforce Development Board in the coordination and execution of organizational
priorities. Under general supervision, this position coordinates executive office operations, Board
governance activities, and cross-functional initiatives while providing comprehensive executive support to
improve organizational effectiveness and ensure the efficient execution of strategic priorities.
GENERAL STATEMENT OF DUTIES: This is a highly responsible position requiring considerable
independent judgment, discretion, and decision-making authority. The Executive Operations Coordinator
serves as a trusted resource to executive leadership and the Workforce Development Board while
coordinating executive operations, governance activities, and organizational priorities. Duties include, but
are not limited to:
Executive Operations
- Coordinate executive office operations, including calendars, meetings, travel, correspondence, and
administrative support for the executive leadership team.
- Prepare executive reports, presentations, agendas, briefing materials, and communications.
- Coordinate executive priorities by tracking projects, deadlines, action items, and strategic
initiatives.
- Manage confidential information and sensitive organizational matters with professionalism and
discretion.
Board Relations & Governance
- Coordinate Workforce Development Board, Executive Committee, and committee meetings,
including agendas, Board packets, meeting logistics, and official records.
- Maintain Board governance processes by coordinating appointments, orientations, required
training, committee assignments, attendance, and term tracking.
- Ensure compliance with Board governance requirements, organizational bylaws, Board policies,
and applicable laws and regulations.
- Serve as the primary administrative liaison to Board members by coordinating communications,
meeting materials, and governance documentation.
- Support Board development activities, governance initiatives, strategic planning sessions, and
other Board-related projects.
Organizational Coordinator
- Coordinate cross-functional initiatives, executive office projects, and organizational events
involving multiple departments and stakeholders.
- Maintain organizational calendars, executive priorities, and key operational timelines to support
organizational effectiveness.

- Working knowledge of Texas Open Meetings Act and associated practices.
- Ability to interpret and apply policies, procedures, and applicable laws and regulations.
- Attention to detail and accuracy in preparing reports, official records, and executive
communications.
- Proficiency in Microsoft Office applications and business technology systems.
- Initiative to work independently, anticipate needs, solve problems, and improve administrative
processes.
EXPERIENCE AND TRAINING:
Preferred qualifications include:
- Degree in Business Administration, Public Administration, Communications, Office
Administration, or related fields.
- Three to five years of progressively responsible experience providing executive administrative
support, coordinating Board governance, project management, or office administration.
- Experience supporting executive leadership, governing boards, public agencies, nonprofit
organizations, or quasi-governmental organizations is preferred.
- Experience coordinating Board meetings, maintaining official records, preparing governance
materials, and managing confidential information is preferred.
- Equivalent combinations of education, training, and progressively responsible experience may be
considered.
POSITION DETAILS:
- Valid Texas motor vehicle operator’s license or available alternate means of transportation.
- Occasional travel is required within region; limited overnight travel may be required to attend
regional, state, or national conferences, trainings, and meetings.
- Employment is contingent on funding and/or evaluation of duties.
Pay: $50,000.00 - $58,000.00 per year
