Position Description – Sales Coordinator (B2B)

Position Summary and Objectives
Plan, manage, and coordinate sales programs, including identifying target markets, effectively positioning the organization's service offerings, proactive lead generation, and development of client proposals. Monitor industry trends and competitive activity to maximize market opportunities while ensuring customer satisfaction.
Primary Responsibilities and Key Deliverables
- Assess customer requirements through thorough analysis of needs and priorities, anticipating questions and concerns related to the organization's services and effectively addressing them.
- Support marketing and sales administration efforts to strengthen business relationships and expand the customer base, including:
- Track and monitor Requests for Proposal (RFP) deadlines, client requirements, questions, site visits, virtual meetings, and proposal submissions.
- Coordinate cross-functional meetings to develop strategies, address questions, and create compelling client proposals.
- Register service offerings across various online platforms to increase visibility and market reach.
- Support sales personnel in contacting prospective customers to communicate service offerings and schedule appointments.
- Research and analyze data to support business decisions related to the customer journey, professional associations, networking opportunities, trade publications, sales training, process improvement, industry benchmarking, best practices, and change management initiatives.
- Maintain bid tracking systems and keep stakeholders informed throughout the sales cycle.
- Monitor online communication channels and assist in converting inquiries into sales opportunities.
- Complete administrative tasks such as preparing client presentations, internal communications, updating customer databases, assembling proposal materials, and coordinating mailings.
- Manage marketing collateral and sales supply inventories, including procurement of materials and promotional items.
- Provide support for trade shows, networking events, sponsorship activities, private events, and community outreach initiatives.
- Perform other duties as assigned.
Required Skills and Competencies
- Sales — Knowledge of principles and methods for promoting and selling services. This includes sales strategies, service positioning, proposal development, and sales support functions.
- Oral and Written Communication Skills — Strong communicator with attention to detail and the ability to represent the organization professionally. Demonstrated ability to prepare persuasive and comprehensive sales proposals.
- Administration and Management — Knowledge of business and management principles involving resource allocation, process improvement, and coordination of people and resources. Ensure activity standards are met regarding prospecting, appointments, presentations, proposals, and business development outcomes.
- Customer Service — Knowledge of principles and processes for delivering high-quality service, including customer needs assessment, quality standards, and customer satisfaction evaluation.

Minimum Education and Experience
- Bachelor’s Degree in Business Administration, Marketing, Commerce, Finance, or related field.
- Minimum two (2) years of experience in sales, business development, proposal coordination, or bid-support functions.
- Proven ability to work with cross-functional teams in a diverse work environment.
- Strong organizational skills with the ability to manage multiple proposals simultaneously.
- Ability to perform effectively under pressure and meet deadlines.
- Proficiency in Adobe Creative Suite, Microsoft Office applications, and web-based software tools.
