This role is responsible for delivering exceptional patient experiences by coordinating appointments, supporting clinical workflows, and ensuring clear, compassionate communication between patients and providers. Key Responsibilities
- Serve as the first point of contact for patients — in person, by phone, and by email — setting the tone for a warm, professional experience
- Schedule, confirm, and reschedule patient appointments across multiple providers and treatment types
- Coordinate daily clinic flow, ensuring providers and patients stay on schedule
- Guide patients through intake, paperwork, and pre-visit preparation
- Communicate treatment plans, follow-up instructions, and next steps clearly to patients
- Maintain accurate, up-to-date patient records in the EMR/practice management system
- Support billing and front-desk staff with payments, and account questions as needed
- Build lasting patient relationships that support retention and trust in the practice
- Collaborate closely with providers, case managers, and clinical staff to ensure seamless care coordination
- Handle patient concerns or scheduling conflicts with professionalism and a solutions-first mindset
Qualifications
- High school diploma or equivalent required; associate degree or medical office certification a plus
- 1+ years of experience in a medical office, healthcare scheduling, or patient-facing coordinator role preferred
- Experience with EMR/scheduling software strongly preferred
- Excellent verbal and written communication skills
- Highly organized with strong attention to detail and the ability to multitask in a fast-paced environment
- A genuine interest in integrative, functional, or regenerative medicine is a plus
- Empathetic, patient-first attitude with a professional, polished demeanor
- Reliable, punctual, and comfortable working as part of a tight-knit clinical team
