Responsibilities
- Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy.
- Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace.
- Perform data entry tasks with accuracy utilizing spreadsheets, word processing, and other office management tools to maintain organized records.
- Handle clerical duties such as filing, proofreading documents, and managing correspondence to ensure information is accurate and accessible.
- Support bookkeeping activities including basic invoice processing and expense tracking using QuickBooks or similar accounting software.
- Provide excellent customer service by assisting clients or patients at the front desk while maintaining phone etiquette and client communication standards.
- Maintain office supplies inventory, organize files, and ensure the office environment is clean, safe, and efficient for all staff members.
Experience
- Prior office experience with a strong background in administrative support roles such as receptionist or personal assistant.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Experience with data entry, filing systems, and managing multi-line phone systems in a professional setting.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients or team members.
- Knowledge of office management procedures including calendar management, document proofreading, and basic bookkeeping using QuickBooks or similar software.
- Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
- Excellent communication skills—both verbal and written—along with professional phone etiquette and customer support experience.
