Position Summary
The Administrative Assistant serves as the first point of contact for clients while supporting the daily operations of our office. This role is ideal for someone who is highly organized, professional, tech-savvy, and enjoys managing multiple priorities with accuracy and efficiency.
Key Responsibilities
- Welcome clients and provide exceptional customer service, usually by phone or e-mail.
- Schedule consultations and manage calendars for tax professionals.
- Answer incoming calls and direct inquiries appropriately.
- Assist clients with onboarding, document requests, and appointment preparation.
- Organize and maintain digital and physical client files.
- Prepare engagement letters, client correspondence, and administrative documents.
- Track outstanding client information and follow up on required tax documents.
- Assist with processing incoming mail, scanning, filing, and document management.
- Coordinate office supplies and support daily office operations.
- Help maintain CRM and client database accuracy.
- Support billing processes as needed.
- Assist the team during tax season with administrative projects and workflow coordination.
- Maintain confidentiality of sensitive financial and personal information.
Qualifications
- 2+ years of administrative, executive assistant, customer service, or office support experience.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to multitask in a deadline-driven environment.
- High attention to detail and accuracy.
- Professional demeanor with exceptional customer service skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Comfortable learning new software and technology.
- Experience with CRM systems, accounting software, or tax software is a plus.
Preferred Qualifications
- Experience working in a CPA firm, accounting office, law firm, or other professional services environment.
- Familiarity with document management systems and electronic signatures.
