General Description:
Assists the Property Control Officer in the administration of the overall enforcement of the Treasure Lake Property Owners Association governing documents and policies to ensure compliance with all appropriate TLPOA restrictions, policies, and guidelines. Interact with contractors, property owners, guests, POA Maintenance, and Administration in a pro-active and service-oriented manner while enforcing policies and guidelines. Assist other administrative personnel with special projects and tasks and to provide coverage for the front desk.
Specific Duties:
Property Control responsibilities are expected to consume up to 40 hours/week on average during the summer season. General office support responsibilities are expected to consume up to 20 hours/week on average during the winter season.
- Respond to prospective and current property owner questions particularly when they concern property control issues
- Receive and audit permit applications to assure accuracy and completeness to expedite the permitting process
- Prior to approval of the permit, validate property owner is a member in good standing
- Process the permit with accurate information to include type of permit, the owner’s name, section, lot, and expiration date
- Notify property owners prior to permit submission deadline if the permit is incomplete in order to enable them to complete the process prior to the deadline
- When a permit is approved, copy and file permit in the property file
- Conduct property inspections
- Issue tree permits
- Maintain up to date and accurate files
- Prepare correspondence to property owners
- Post violation charges to property owner accounts in the appropriate management software
- Attend Property Control Committee meetings and produce meeting minutes
- Provide meeting agendas and copies of the appropriate applications for the committee
- Stamp receipt and sign or initial relevant documents
- First alternate to provide back-up coverage for the front desk receptionist
- Assist other employees with special tasks and projects when needed
- Perform other duties as assigned
Knowledge and Skills:
· Good verbal and written communication skills
· Computer knowledge and expertise in Microsoft Excel and Word
· Common office equipment knowledge
· Must gain a working knowledge of TLPOA policies and restrictions
Qualifications:
Valid Drivers License
1 year experience in customer service
High school diploma or equivalent
1 year experience in a business administration position
· Property management experience a plus
