About the Role
This role exists so that every client interaction, recommendation, and transaction is executed accurately, completely, and on time.
You work directly with advisors as their execution partner. This is not a task-based role. You are responsible for outcomes. If something is missed, delayed, or incorrect, the client feels it.
You should also know what you are walking into. We are building the operating system of this practice right now: documented procedures, published measures, a central dashboard. Some of it exists and some of it does not yet. That is the honest picture. If you want to inherit a finished machine, this is the wrong seat. Top 3 Outcomes, First 6 Months
- Own client experience execution end to end. Meetings prepared correctly, follow-ups completed on time, clients receiving clear and consistent communication, nothing falling through.
- Achieve high accuracy in business processing. New business, transfers, and insurance submissions correct on first pass. Minimal Not In Good Order issues. Reduced back and forth with the home office.
- Build and maintain a repeatable workflow system. CRM consistently updated and usable. Meeting prep, documentation, and follow-ups following a clear process. Advisors relying on the system rather than on memory.
What You'll Do
- Prepare all materials for client meetings
- Execute and track all follow-ups
- Submit new business, transfers, and service requests
- Handle inbound calls and website appointment requests
- Make appointment confirmation calls
- Manage the client data request process: personal information, ALPIE, taxes and legal
- Maintain accurate and complete CRM documentation
- Support the annual review and six month review cadence
- Surface issues before they become problems

You enter your own numbers in Monday by end of day Thursday. They are reviewed in the Wednesday WIN meeting. You will never be asked for a number you have not already seen.
What You Bring
Required
- Bachelor's degree
- At least two years in a client-facing or advisory support role
- Strong organizational and workflow management skills
- Familiarity with CRM systems
- Clear, professional written and verbal communication
- Comfort operating in a compliance-sensitive, regulated environment
Preferred
- Experience supporting financial advisors
- Securities or insurance licensing, or willingness to obtain
- Familiarity with the broker dealer platform systems and workflows

This role serves the Gonzales advisory practice. It does not include work for the other affiliated entities, personal matters, or projects outside the advisory client process. If a request arrives outside this scope, route it to the COO. Scope changes happen in writing, with the description and measures updated first.

Schedule and Compensation
- Office schedule: Monday to Friday, 8:30 AM to 5:00 PM CST
- Compensation: competitive base with bonus potential tied to the measures above
- Benefits: Group Medical with 50% employer premium contribution. 401k with match, 100% up to 4% plus an additional 50% up to 6%. PTO per policy. 5,000 dollar charitable contribution made on your behalf.

Pay: $60,000.00 - $75,000.00 per year
