Duties
- Manage daily office operations, including filing, data entry, and maintaining office supplies
- Handle multi-line phone systems with professionalism, providing excellent customer service and client communication
- Coordinate calendar management and schedule appointments for team members and executives
- Prepare, proofread, and word-process documents, reports, and correspondence with accuracy and attention to detail
- Utilize software such as Microsoft Office, Google Workspace, QuickBooks, and spreadsheets to organize data and streamline workflows
- Support front desk activities including greeting visitors, answering inquiries, and managing phone etiquette
- Assist with bookkeeping tasks, invoicing, and basic financial recordkeeping using QuickBooks or similar tools
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and productivity software
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Effective phone communication skills with experience managing multi-line phone systems and front desk responsibilities
- Bilingual abilities are highly desirable to facilitate diverse client interactions
- Demonstrated clerical experience including filing, proofreading, data entry, and document management
- Knowledge of office management practices along with technical proficiency in office equipment and software tools
- Exceptional time management skills to prioritize tasks effectively while maintaining high productivity levels
- Customer service expertise with a focus on client communication and support in person or over the phone
- Experience as a dental or medical receptionist or personal assistant is advantageous but not required
