At Gulf Coast Pelvic Health, a specialty pelvic health physical therapy practice in Pensacola, that first call is often someone who is scared, hurting, and finally reaching out for help. We are hiring a Patient Experience & Sales Coordinator to be the person who meets them there: warm, organized, steady, and genuinely good at guiding people toward the care that can change their lives. It is also the first rung of a real career, with a path into operations leadership as we expand.
This role is for someone who can create a calm, polished, high-trust experience for every patient while bringing structure, follow-through, and consistency to the front end of the practice. The right person takes ownership without needing constant direction, becomes part of the operational backbone of the business, and has a real path to grow well beyond it.

Where This Role Can Take You
This is the first rung, not the ceiling. We hire for today and develop you for tomorrow. As you master this role, the path leads to Operations Coordinator, then Operations Manager, then Director of Operations as we expand to new locations. The person who grows with us will help run a multi-location practice. We will train, coach, and invest in you, including tools like AI that put you ahead of the curve. How far you go is up to you.
What You’ll Own
Patient Communication
- Answer incoming calls with warmth, clarity, and confidence
- Return voicemails and follow up promptly
- Help new patients understand next steps and move confidently through scheduling
- Communicate professionally with both new and existing patients
- Route clinical questions appropriately without stepping outside your role
Guiding Patients to Care (the part that matters most)
- Own our inquiry-to-patient process and keep leads from falling through the cracks
- Help people who are hurting say yes to the care that can help them
This is not a hard sell. It is a service. Many people who need us are scared or unsure, and helping them confidently take the first step is one of the most important things you will do here. If converting an inquiry into a booked patient feels meaningful to you, this role will fit.
Scheduling and Front-End Coordination
- Support new patient scheduling and follow-up
- Manage waitlists, openings, and scheduling flow
- Maintain a smooth, organized patient communication process
- Help patients feel informed, comfortable, and ready to move forward
Administrative Operations
- Support day-to-day front-end systems and office organization
- Scan, upload, organize, and maintain documents and workflow tasks
- Create consistency in recurring processes
- Monitor supplies and support office readiness
- Complete responsibilities with accuracy, reliability, and follow-through
Practice Support
- Identify loose ends, inefficiencies, or communication gaps before they become problems
- Communicate issues proactively
- Help reduce owner involvement in routine front-end tasks by becoming dependable, capable, and trusted

Who This Role Is Not For

Preferred Experience
- Healthcare office experience
- Scheduling, patient coordinator, or administrative support experience
- Customer service or patient-facing support experience
- Familiarity with EMR, CRM, or similar systems
- Sales and booking experience
- AI-forward
Work Type and Compensation
- Full-time, primarily in-person in Pensacola
- Some flexibility may be considered later, once trust, consistency, and independent execution are established
- Compensation: $20 to $25 per hour to start, depending on experience, strengths, relevant background, and demonstrated ability to take ownership
- A clear path to increased compensation after training, with bonus and commission tied to ownership and conversion performance, and real advancement as you climb the ladder
