Job Overview:
The Facilities & Client Relations Manager / Lead Coordinator serves as the operational and relational backbone of the program, ensuring a seamless, supportive experience for clients from first contact through discharge. This role blends administrative leadership, client-facing coordination, admissions support, and facility oversight to create a highly organized, welcoming, and clinically supportive environment.

Duties:
Client Relations & Admissions Support
- Serve as the primary point of contact for prospective and current clients, answering calls, emails, and inquiries in a timely, professional, and compassionate manner
- Coordinate and schedule initial therapy and psychiatric appointments for new clients
- Support clients on their first day, including onboarding, introductions to the treatment team, and orientation to program structure, ensuring clients and families feel informed, supported, and welcomed
- Assist with admissions processes, including tracking referrals and coordinating start dates
- Provide ongoing support to clients by answering questions and helping them navigate the program
Administrative & Program Coordination
- Send appointment reminders and maintain ongoing communication with clients
- Track attendance, including scheduled days and absences (planned/unplanned)
- Monitor inboxes and respond to communications within one business day
- Collaborate with clinical leadership to assign providers and ensure continuity of care
- Support documentation processes, medical records requests, and administrative tasks
- Track outstanding items and ensure timely follow-up on client needs
Facilities & Environment Management
- Oversee daily facility operations to ensure a safe, clean, and welcoming environment
- Track maintenance needs and ensure timely completion (including safety checks such as fire alarms)
- Order and manage inventory for office supplies, art materials, and client snacks
- Monitor and track program-related expenses and budgets
- Take initiative in creating a warm, engaging space (including decor, seasonal touches, or themed days)
Program Operations & Team Collaboration
- Collaborate closely with clinical and administrative leadership to support program operations
- Participate in team meetings and trainings
- Support staff with operational needs and coordination
- Maintain strong internal communication across teams
- Assist in coordinating support during high need or crisis situations
Marketing & Outreach
- Support light outreach and client relations efforts
- Represent the program professionally to prospective clients and referral sources
- Help maintain strong relationships that support program growth
Confidentiality & Professionalism
- Maintain strict confidentiality of all client and program information
- Demonstrate professionalism, reliability, and strong communication
- Act as a positive, welcoming presence for both clients and staff
- Proactively seek guidance and communicate with leadership when needed
Qualifications:
- Bachelor’s degree preferred but not required
- 1+ years of relevant experience in healthcare, mental health, or client coordination required (2 years preferred)
- Strong organizational and multitasking skills
- Excellent interpersonal and communication skills
- Experience with scheduling systems, EHRs, or administrative coordination preferred
