Duties
- Greet visitors, clients, and vendors professionally, creating a positive first impression
- Manage multi-line phone systems, directing calls accurately and courteously
- Handle incoming correspondence, including emails, mail, and packages with attention to detail
- Maintain organized filing systems both physically and digitally, ensuring easy retrieval of documents
- Perform data entry tasks using productivity software such as Microsoft Office
- Assist with calendar management and scheduling appointments for staff or executives
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide customer support by answering inquiries and offering exceptional service at the front desk
- Proofread documents for accuracy and clarity before distribution
- Legal Motion Drafting, Demands Writing
- Manage office supplies inventory, placing orders as needed to ensure smooth operations
Requirements
- Proven experience in office management, clerical work, or administrative roles with a focus on customer service
- Strong computer literacy including proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
- Familiarity with multi-line phone systems and phone etiquette standards
- Bilingual abilities are highly valued to assist diverse clients and team members effectively
- Experience with QuickBooks or bookkeeping is preferred but not required; training can be provided
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Strong typing skills with attention to detail for proofreading and document accuracy
- Previous experience as a front desk receptionist, medical or dental receptionist, or personal assistant is advantageous
- Ability to manage time effectively while handling multiple responsibilities simultaneously
- Spanish Speaking
