Position Summary: The skilled Accounting Specialist will perform a wide variety of accounting, bookkeeping, and clerical tasks. We seek a team member who is dependable, versatile, and thrives on challenges.
Essential Duties and Responsibilities:
- A/R: process invoices/credits from completed sales orders, process drop-ship orders, apply cash receipts, send monthly statements, collect past-due balances, resolve discrepancies, update customer records, maintain reporting on Aging and Past Due Status, file invoice documentation.
- New customer setup: request credit app, tax-exempt form, pull D&B, contact references, request insurance coverage from carrier.
- Prepare bank deposits and process remotely. Manage petty cash.
- A/P: enter vendor invoices/credits, setup & maintain vendor records, resolve discrepancies. Prepare weekly check run: pull invoices, print checks, match checks, obtain signature, stuff/meter/mail checks, file paid invoices, generate 1099s.
- A/P Invoice from PO’s: receiving goods purchased via PO’s, adding land costs for freight, resolving price & quantity variances with the purchasing dept.
- A/P Invoicing Non-PO: obtain supporting documents & approvals, determine proper accounting and expense coding.
- Review and process expense reports.
- Company credit card reconciliation & invoicing: obtain receipts from users, download online transactions, update & code spreadsheet, make online payments, post transactions to G/L.
- Freight reconciliation & invoicing: outbound freight/drop ship freight/landed cost/inbound freight, add/update spreadsheets, reconcile to G/L, code/notate/enter UPS & FedEx invoices.
- Resolve discrepancies, check all potential sources of disagreement, reconstruct probable actions, recognize the effect on other accounts; prepare correction documents as required.
- Accounting assistance: analyze G/L accounts for unusual activity, create spreadsheets and reports as needed, maintain various prepaid and accrual spreadsheets, G/L account reconciliation, month-end cut-off and closing activities, run time-sensitive month-end reports, monitor daily bank balance, other ad hoc projects.
- Administrative duties: electronic filing, maintaining an orderly financial filing system, copying, scanning, printing, answering phones (as needed), distributing mail, ordering office supplies, coordinating printer maintenance, other duties as requested or assigned.
- Assist with annual audit preparation, copy/scan documentation, prepare schedules and reports as requested, and perform other related duties as requested by the Controller or Management.
- Provide support and assist other departments whenever needed or requested.
- Consistently follows and adheres to all safety and good manufacturing practices (GMP's).
- Contribute to the maintenance of the Quality Management System through the correct execution of its functions and/or activities.
- Contribute to the continuous improvement of the Quality Management System.
- Other job-related duties as assigned.
Competences, Skills, and Abilities:
- Associate degree and/or 3-5 years’ experience in accounting/bookkeeping.
- Excellent data entry skills. 10-Key by touch.
- Medium to Excellent skills in Microsoft Office: Excel, Word, Outlook, PowerPoint
- 1-2 years SAP experience (preferred).
- 1-3 years ERP system experience (required).
- Ability to multitask, extremely detail-oriented, strong analytical and problem-solving skills.
- Time management, prioritizing, organization, and planning skills.
- Collaborate and have good communication skills with individuals in all departments.
- Excellent customer service skills internally and externally.
- Ability to work both independently as well as within a team, creative, flexible, adaptable under pressure. Self-starter.
- Ability to work in a fast-paced and dynamic environment.

- Required to talk and hear. The employee is in an office environment, sitting down most of the time.
- Lifts, pushes/pulls, carries, or otherwise moves and positions objects weighing up to 10 lbs. on a non-regular basis. May have to move an object from one location to another.
- Use hands and fingers to handle or feel and reach to operate office equipment such as computers, printers, filing cabinets, etc.
- Visual acuity is necessary to do the job safely and effectively. Specific vision abilities required by this job include close vision work to perform reading, peripheral, and profundity.
Work Environment:
This position works in an office environment and, from time to time, will go to the production floor, which is not an air-conditioned/heated warehouse setting, with some outdoor exposure during the workday. Requires activities using Personal Protection Equipment (PPE) involving being around moving machinery, exposure to marked changes in temperature and humidity, and some exposure to dust, noise, fumes, and gases.
