Duties
- Manage front desk operations
- Handle multi-line phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
- Maintain accurate records through data entry, filing, and proofreading to ensure all documentation is clear and error-free
- Oversee calendar management for appointments, meetings, and events using Google Workspace or Microsoft Office tools
- Support bookkeeping tasks utilizing Knowify, QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Coordinate jobsite material purchases and office supplies procurement, inventory management, and organization of office spaces to promote a tidy work environment
- Provide exceptional customer service by supporting clients, vendors, and team members with timely assistance and support
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong knowledge of Knowify, QuickBooks, or other project management and bookkeeping software, or demonstrated ability to quickly learn new software
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
- Strong communication skills, including bilingual abilities preferred, Spanish and English.
- Previous experience as a receptionist (in construction), personal assistant, or in customer support roles is advantageous
- Ability to perform data entry accurately while maintaining attention to detail and proofreading skills
- Knowledge of office equipment operation such as printers, scanners, and fax machines
- Time management skills that enable efficient handling of multiple responsibilities simultaneously.
